Job Overview: The Program Assistant position at IFC is designed for a highly motivated, well-organized, and experienced individual who will provide comprehensive executive support to the Country Manager. This role encompasses a wide range of administrative management and coordination tasks, ensuring quality assurance in documents and processes, and acting as a liaison with external officials and contacts. The Program Assistant will also engage in general research and reference work, taking a lead coordination role within the front office. The successful candidate will be expected to manage multiple tasks efficiently while maintaining a high standard of work, contributing to the overall effectiveness of the team and the organization’s mission.
Duties and Responsibilities: The duties and responsibilities of the Program Assistant include: Administrative Support: Assisting in the preparation and coordination of meetings, workshops, and conferences; maintaining and updating program files, records, and databases; managing correspondence, including emails, memos, and reports; ensuring proper documentation and archiving of program materials; drafting and editing documents as required; providing support during the procurement of services; and performing other ad hoc tasks as requested. Logistical Support: Arranging travel itineraries for program staff, including booking flights, accommodations, and ground transportation; preparing travel documents and itineraries for staff and participants; assisting in the planning and execution of program-related events such as workshops, seminars, and conferences; coordinating venue bookings, catering services, and audio-visual equipment setup; and managing participant registration and attendance tracking. Documentation and Communication Support: Facilitating communication between program staff, partners, and stakeholders; supporting the team in preparing materials for internal and external distribution, including the compilation of data; and managing critical files and confidential material with discretion, adhering to the WBG Access to Information policy.
Required Qualifications: The required qualifications for the Program Assistant position include a minimum of a bachelor’s degree with at least 5 years of relevant experience or an equivalent combination of education and experience. Candidates should possess excellent knowledge of Microsoft Office applications and demonstrate proficiency in technology and systems relevant to the functional area. The ability to organize, coordinate, monitor, and implement tasks and projects with minimal supervision is essential, along with the capacity to handle a variety of concurrent activities, judge priorities, seek guidance, and take initiative in a fast-paced team environment. Strong communication skills are necessary, with the ability to communicate in a constructive and professional manner.
Educational Background: Candidates for the Program Assistant position are required to have at least a bachelor’s degree.
