Job Overview: The Administrative Support position within the Air Navigation Bureau is designed to provide essential administrative and technical support to the Chief/Programme Coordinator and technical officers. The incumbent will be responsible for assisting in the planning and implementation of the section/unit’s work programmes, ensuring that all tasks are completed efficiently and effectively. This role requires a proactive approach to managing various administrative functions, including maintaining the section/unit’s website, assisting in the quality management of working documents, and providing support for expert groups and meetings. The successful candidate will be expected to liaise with various stakeholders, manage documentation, and ensure that all outputs meet established standards and procedures. This position is critical in facilitating the smooth operation of the bureau's activities and ensuring that the section/unit meets its objectives in a timely manner.
Duties and Responsibilities: The duties and responsibilities of the Administrative Support position include:
Providing administrative and technical support to the planning and implementation of the section/unit’s work programmes, including reviewing and updating work programmes, liaising with relevant parties, and maintaining the section/unit’s website.
Assisting in the quality management of working documents by reviewing and finalizing reports, proofreading for accuracy and completeness, and preparing technical manuals for submission.
Supporting expert groups by maintaining their websites, editing incoming papers, drafting correspondence, and assisting in the conduct of meetings.
Contributing to the management and monitoring of tasks related to the section/unit’s work programme, including tracking progress and liaising with event organizers for workshops and conferences.
Providing administrative support for pre-meeting/event preparations, including liaising with regional officers and assisting with credential collection and pre-registration.
Required Qualifications: The required qualifications for the Administrative Support position include:
Completion of secondary school education is essential.
Desirable qualifications include completion of courses in office automation and/or computer courses in Microsoft Word, Excel, SharePoint, PowerPoint, and other contemporary software.
A minimum of 4 years of professional experience in office administration work is essential, with a strong background in using office automation techniques and contemporary software.
Candidates should demonstrate knowledge of office administrative procedures and practices, as well as a commitment to professionalism and teamwork.
Educational Background: The educational background required for this position includes the completion of secondary school as a minimum requirement. Additional desirable qualifications include courses in office automation and proficiency in contemporary software applications such as Microsoft Word, Excel, SharePoint, and PowerPoint. These educational credentials will equip candidates with the necessary skills to perform the administrative functions effectively.
Experience: Candidates are required to have a minimum of 4 years of experience in office administration work. This experience should include familiarity with office automation techniques and the use of contemporary software applications, particularly Microsoft Word, PowerPoint, Excel, and SharePoint. The role demands a high level of organizational skills and the ability to manage multiple tasks efficiently, which can only be achieved through substantial professional experience in a similar environment.

Additional Notes: This consultancy position is to be filled for an initial period of twelve (12) months, with the possibility of extension based on performance and organizational needs. It is a full-time role, and candidates should be aware that the daily rate for Band A varies from CA$ 186 to CA$ 24
