Job Overview: The position of Commodity Movement Records Support is crucial for maintaining accurate records of commodity movements to mitigate risks in inventory management. The role involves ensuring compliance with CRS and donor regulations, as well as international and local supply chain standards. The individual will apply principles of stewardship, integrity, transparency, and accountability in their work. The position requires a proactive approach to managing inventory records, ensuring that all transactions are accurately documented and reported. The successful candidate will play a key role in supporting high-quality programs aimed at serving the poor and vulnerable populations, ensuring that commodities are handled and released to beneficiaries in a timely and efficient manner.
Duties and Responsibilities: The duties and responsibilities of the Commodity Movement Records Support include: checking and verifying all commodity transaction documents, categorizing receipts by operation and reference details, organizing and preparing interim and periodic commodity reports according to CRS standards, participating in monthly commodity inventory counting, analyzing allocations based on beneficiaries’ ration sizes, collecting daily dispatches and receipts from warehouse keepers, organizing allocations based on commodity type, working with transport organizations to ensure proper freight orders, maintaining ledgers and stock cards for reconciliation purposes, preparing loss and misuse commodity reports, and supporting warehouse keepers and dispatchers in ensuring document accuracy. The role requires meticulous attention to detail and a commitment to accuracy in all aspects of inventory management.
Required Qualifications: The required qualifications for this position include a completion of a BA/BSC degree or a College Diploma in Social Science fields, preferably in Logistics and Supply Chain Management. Candidates should have a minimum of 2 years of work experience in a similar position for those with a BA/BSC degree, or 6 years for those with a college diploma, ideally within an international organization. Additional education may substitute for some experience. A good understanding of commodity management practices, records management, and the ability to work effectively with partners and stakeholders are essential. Candidates should also possess basic report writing skills and be computer literate, particularly in MS-Excel.
Educational Background: Candidates must have completed a BA/BSC degree or a College Diploma in relevant fields such as Social Science, Logistics, or Supply Chain Management. This educational background is critical for understanding the complexities of commodity management and inventory control.
