Job Overview:
The General Office Support position is situated within the Host Country Relations Unit of the Conference and General Services Section in the Division of Administration at ESCAP. The incumbent will work under the direct supervision of the Administrative Assistant, who oversees the Host Country Registration Sub-Unit, and will be responsible for providing essential office support services, particularly in relation to immigration and host-country-related services. This role is crucial for ensuring the smooth functioning of the organizational unit, which involves a variety of administrative tasks, including correspondence with host country authorities, maintaining schedules, and managing documentation related to immigration services. The position requires a proactive approach to problem-solving and effective communication skills to handle inquiries and provide information to staff and visitors.

Duties and Responsibilities:
The incumbent will perform a wide range of duties, including but not limited to: providing general office support services to ensure the efficient operation of the unit; producing routine correspondence and reports using standard word processing software; proofreading documents for accuracy; maintaining calendars and schedules; processing mail and documents; responding to inquiries from staff and visitors; maintaining both paper and electronic files; updating distribution lists; performing data entry and extraction; checking the accuracy of calculations and data; handling various administrative tasks such as leave recording and meeting organization; operating office equipment; and delivering urgent messages. The role may also involve additional duties as assigned by the supervisor, requiring flexibility and adaptability to changing needs.

Required Qualifications:
Candidates must possess a high school diploma or equivalent. A first-level university degree may be accepted in lieu of two years of required experience. The position requires a minimum of two years of responsible experience in general office support or a related area. Experience in Thai immigration procedures or diplomatic privileges-related services is desirable, as is experience in data analytics or related fields. Familiarity with the United Nations Common System or similar international organizations is also advantageous.

Educational Background:
The educational requirement for this position is a high school diploma or equivalent. However, candidates with a first-level university degree may be considered if they have no prior experience, as this degree can substitute for the required experience. This flexibility allows for a broader range of applicants, including recent graduates who meet the educational criteria.

Experience:
The position requires at least two years of relevant experience in general office support or a related area. However, candidates who have graduated with a first-level university degree may apply without prior experience. Desirable experience includes familiarity with Thai immigration procedures and diplomatic services, as well as a year or more of experience in data analytics or related fields. Experience working within the United Nations system or similar international organizations is also beneficial, as it provides insight into the operational context of the role.

Languages:
Fluency in English is required for this position, as it is one of the working languages of the United Nations Secretariat. Fluency in Thai is desirable, given the nature of the role and its focus on host country relations. Knowledge of another UN official language is considered an advantage, enhancing the candidate's ability to communicate effectively in a multilingual environment.

Additional Notes:
This position is subject to local recruitment, meaning that applicants must be authorized to work in Thailand. Those selected from outside the duty station will be responsible for their relocation expenses. Staff members recruited locally are not eligible for allowances or benefits that apply to international recruitment. The initial appointment is for one year, with the possibility of extension based on satisfactory performance and availability of funds.
