Job Overview: The Programme Assistant will report to the Governance and Leadership Programme Coordination Specialist and work under the overall supervision of the Programme Management Specialist. This role involves providing comprehensive support to the Programme Team in developing and implementing effective programs in line with UN Women’s rules and regulations. The Programme Assistant will be responsible for administrative, logistical, and programmatic assistance to ensure smooth program implementation. The position requires a proactive approach to managing various tasks, including financial management, resource mobilization, and facilitating knowledge sharing within the organization.
Duties and Responsibilities:
Provide administrative and logistical support to the formulation and management of programs, including preparing work plans, budgets, and proposals, tracking fund delivery, and supporting audit processes.
Assist in financial management by creating projects in the Quantum system, preparing budget revisions, and monitoring program finances.
Organize logistical arrangements for meetings, workshops, and events, including travel arrangements for the Programme Team.
Support resource mobilization efforts by compiling documentation and information from donors.
Facilitate knowledge building by organizing training sessions for office personnel and partners.
Perform other duties as necessary for the efficient functioning of the Office and the Organization.
Required Qualifications: Completion of secondary education is required, while a Bachelor’s degree in business or public administration is desirable. Candidates should have at least 5 years of progressively responsible experience in administrative or program management/support (or 2 years with a Bachelor’s degree). Proficiency in using multiple office software packages and experience with ERP systems, preferably Oracle Cloud, is also required. Experience in supporting a team is considered desirable.
Educational Background: Candidates must have completed secondary education, with a Bachelor’s degree in business or public administration being highly desirable for this position.
Experience: The position requires at least 5 years of relevant experience for candidates with secondary education or 2 years for those with a Bachelor’s degree. Experience in administrative or program management/support roles is essential, along with familiarity with office software and ERP systems.
Languages: Fluency in English and Bosnian/Croatian/Serbian is required for this position, ensuring effective communication within the team and with stakeholders.
