Job Overview:
The Coordination and Support Officer (Management and Reform) will play a crucial role in supporting the director" style="border-bottom: 1px dotted #007bff !important;">Deputy Director General for Management and Reform (DDG) by facilitating effective coordination and communication between various organizational structures, including Headquarters, Regional Offices, and Country Offices. The incumbent will provide technical, analytical, and organizational support to the DDG, guiding and coordinating tasks that fall under the portfolio of the Deputy Regional Director (Management) based in Regional Offices. This position requires a proactive approach to ensure cohesion across departments and divisions within the Management and Reform structure, enabling them to fulfill their responsibilities efficiently and effectively. The officer will stay informed about departmental work plans and initiatives, providing recommendations to the DDG on emerging needs and best practices. Additionally, the role involves coordinating the DDG's participation in various events and ensuring smooth communication across the organization.

Duties and Responsibilities:
  • Coordination and Communication: Support the DDG and Special Advisor in coordinating with various offices, ensuring effective communication and cohesion across departments and divisions within the Management and Reform structure. Stay updated on departmental work plans and initiatives, providing recommendations to the DDG. Coordinate preparations for the DDG's participation in HQ, field, and external events.
  • Data Collection and Reporting: Gather and consolidate updates from departments and divisions under the DDG's portfolio. Provide data analysis and horizon scanning to support strategic planning within the Management and Reform Pillar. Prepare briefing notes, status reports, and draft responses to communications. Monitor the progress of tasks assigned by the DDG.
  • Knowledge Management: Maintain clear and up-to-date records of correspondence and decisions, particularly formal DDG approvals and memos. Liaise with counterparts in the Executive Office to ensure smooth coordination of events and priorities.
  • Additional Duties: Perform other duties as assigned by the DDG and Special Advisor.

Required Qualifications:
Education: A Master's degree in Business Administration, Management, Economics, Finance, or a related field from an accredited institution with five years of relevant professional experience; or a University degree in the same fields with seven years of relevant professional experience. Accredited universities are those listed in the UNESCO World Higher Education Database. Experience: At least five years (or seven years for bachelor’s degree holders) of relevant professional experience in Project Support and Coordination in a fast-paced environment. Considerable experience in agenda setting, high-level presentations, and document review is required. Working experience in country and regional offices, ideally in various roles, is preferred. Knowledge and experience in policy development and research, as well as resources and administrative management, are advantageous. Experience in writing policy and/or guidelines is also beneficial.

Educational Background:
Candidates must possess a Master's degree in Business Administration, Management, Economics, Finance, or a related field from an accredited academic institution. Alternatively, a University degree in the aforementioned fields is acceptable if accompanied by seven years of relevant professional experience. The educational institutions must be recognized and listed in the UNESCO World Higher Education Database to ensure credibility.

Experience:
The position requires a minimum of five years of relevant professional experience in Project Support and Coordination for candidates with a Master's degree. For those with a Bachelor's degree, a minimum of seven years of relevant experience is necessary. Candidates should have considerable experience in high-level presentations, agenda setting, and document review, along with working experience in country and regional offices, ideally in various roles. Knowledge and experience in policy development and research, as well as resources and administrative management, are considered advantageous.

Languages:
Fluency in English is required for this position, both oral and written. Working knowledge of another official UN language (Arabic, Chinese, French, Russian, or Spanish) is an advantage. Proficiency in the required languages will be specifically evaluated during the selection process, which may include written and/or oral assessments.

Additional Notes:
The position is a fixed-term contract for one year, with the possibility of extension. It is classified as a professional level position (P-3). Internationally recruited professional staff are required to be mobile, and any offer made to the candidate is subject to funding confirmation. This selection process may also be used to staff similar positions in various duty stations. Recommended candidates endorsed by the Appointments and Postings Board will remain eligible for appointment in a similar position for a period of 24 months.
