Job Overview:
The IEA is seeking to recruit several assistants to create a reserve list of candidates for current and future needs. The role involves providing support for office management tasks, including organizing events and meetings, preparing documents, and creating communication materials. Candidates should be enthusiastic and motivated, with relevant experience, and an interest in working in a diverse and collaborative multicultural environment. The position is integral to the success of teams of experts dedicated to developing better policies for improved lives. Responsibilities will vary based on the needs of the assigned division within the Agency and the specific team.

Duties and Responsibilities:
The main responsibilities of the assistant include: drafting correspondence and notes, managing calendars, information flows, and records; organizing workshops, meetings, and conferences, which involves managing room reservations, catering arrangements, document preparation, and participant lists; acting as an administrative focal point for contacts with Member Delegations and external interlocutors; organizing business travel, including bookings, visa applications, and processing expense claims; preparing and processing contracts and payments for service providers and invited experts; assisting in the preparation and updating of documents, publications, websites, and social media in both official languages (English and French), which may include sub-editing, proof-reading, and formatting; proactively suggesting improvements to existing administrative processes and workflows; adopting a continuous learning approach regarding corporate systems and procedures; and staying informed about relevant financial and human resource rules related to assigned workflows.

Required Qualifications:
Candidates must possess a secondary level of education, preferably with a focus on office management, secretarial studies, and language studies. Relevant experience in an international environment is ideal, particularly in document preparation, event organization, and travel management. Proficiency in Microsoft Office Suite is essential, along with a proven ability to quickly learn new systems. Experience with mission software (such as SAP) and web management software (such as T4) is advantageous.

Educational Background:
The educational background required for this position includes a secondary level of education, ideally complemented by studies in office management, secretarial work, and languages. This foundation is crucial for effectively managing the administrative tasks associated with the role.

Experience:
Candidates should have relevant experience, ideally in an international setting, which includes document preparation, organization of large-scale meetings and events, and travel management. This experience is vital for successfully fulfilling the responsibilities of the assistant role.

Languages:
Fluency in one of the two official OECD languages (English and French) is mandatory, along with knowledge of the other language and a commitment to achieving a good working level. Knowledge of additional languages would be considered an asset for certain positions.

Additional Notes:
The vacancy will be used to fill multiple positions, and the appointment type will be determined based on the needs of the Directorate, confirmed upon the offer of employment. The monthly base salary starts from 3,809 EUR, plus allowances based on eligibility, and is exempt from French income tax.
