Job Overview: The Administrative Assistant position at UN Women is crucial for supporting the office operations by performing a variety of standard administrative processes. The role requires a client-oriented approach, ensuring high quality and accuracy in all tasks. The Administrative Assistant will work closely with program and project personnel as well as the Operations team to ensure consistent service delivery. The position involves providing general administrative and logistical support, managing office supplies, assisting in human resources services, and facilitating knowledge sharing through training on administrative policies and procedures. The incumbent will also be responsible for maintaining confidentiality and handling a large volume of work efficiently.
Duties and Responsibilities:
Provide general administrative and logistical support to the office, including collecting information on shipments, preparing documents for customs clearance, arranging travel and hotel reservations, and providing administrative support for conferences and workshops.
Monitor and maintain office supplies, manage records on assets, and prepare purchase orders and requests for quotations.
Assist in human resources services by creating vacancy announcements, organizing interview panels, and maintaining staffing lists.
Facilitate training sessions on administrative policies for operations and project personnel.
Perform other duties as necessary for the efficient functioning of the office and organization.
Required Qualifications: Completion of secondary education is required, with a Bachelor’s degree in business administration or related fields being desirable. The candidate should have at least 5 years of progressively responsible experience in administration, procurement, HR, or logistic support services. Proficiency in using computers and office software packages, particularly MS Word and Excel, is required. Experience with ERP systems, preferably Oracle Cloud, is desirable.
Educational Background: The minimum educational requirement for this position is the completion of secondary education. A Bachelor’s degree in business administration or a related field is preferred, along with relevant experience in administrative roles.
Experience: Candidates must have a minimum of 5 years of progressively responsible experience in administration, procurement, human resources, or logistics support services. This experience should demonstrate the ability to handle a large volume of work and perform tasks of a confidential nature.
Languages: Fluency in English and Turkish is required for this position. Knowledge of another official UN language, such as French, Arabic, Chinese, Russian, or Spanish, is considered desirable and would be an asset in this role.
