Job Overview: The Operations Analyst will play a crucial role in supporting the Office of the Ombudsman by providing administrative, budget, finance, human resourcesmanagement support, and data analysis. This position is designed to enhance the operational efficiency of the Office, ensuring that it meets its strategic goals. The Operations Analyst will work closely with the Ombudsman and the Deputy Ombudsman, contributing to the development of operational strategies and implementation plans. The role requires a proactive approach to managing various administrative functions, ensuring compliance with organizational policies, and facilitating effective communication within the office and with external stakeholders. The Operations Analyst will also be involved in the preparation of reports and presentations, contributing to the overall knowledge management within the organization.
Duties and Responsibilities: The Operations Analyst will be responsible for a wide range of duties, including but not limited to: overseeing administrative services and ensuring the effective functioning of the Office; reviewing organizational policies and guidelines; managing office space and procurement of IT equipment; coordinating asset management and inventory reports; scheduling office events and travel; providing logistical support for workshops and meetings; preparing data analyses and presentations; contributing to budget preparation and financial management; advising on HR policies and managing recruitment processes; ensuring timely communication flow; maintaining filing systems; and facilitating knowledge building and management initiatives. The incumbent will also perform other duties as necessary for the efficient functioning of the office.
Required Qualifications: Candidates must possess an advanced university degree (master’s degree or equivalent) in Business or Public Administration, Finance, Accounting, Law, or a related field. Alternatively, a first-level university degree (bachelor’s degree) combined with two additional years of qualifying experience will be considered. The role requires a minimum of 2 years of relevant experience with a master’s degree or 4 years with a bachelor’s degree in administration or operations. Experience in a field related to the work of the Office of the Ombudsman is an asset. Proficiency in office software packages and web-based management systems is required, along with knowledge of integrated managementinformation systems. Familiarity with UN operational policies and procedures is desired, as well as demonstrated abilities in organizational planning and confidentiality.
Educational Background: An advanced university degree (master’s degree or equivalent) in Business or Public Administration, Finance, Accounting, Law, or any other related field is required. A first-level university degree (bachelor’s degree) in the areas mentioned above, combined with two additional years of qualifying experience, will also be considered in lieu of the advanced degree.
Experience: The position requires a minimum of 2 years of relevant experience in administration or operations for candidates with a master’s degree, or 4 years for those with a bachelor’s degree. Experience related to the work of the Office of the Ombudsman is advantageous. Candidates should have experience using office software packages (such as MS Word and Excel) and web-based management systems, including ERP systems. Knowledge of integrated management information systems is essential, and previous experience with Quantum or similar ERP systems is a strong asset. Candidates should demonstrate abilities in organizational planning, confidentiality, initiative, and good judgment, as well as the ability to work effectively with diverse teams.
Languages: Fluency in English is required for this position. Proficiency in additional languages may be considered an asset, enhancing communication within the diverse environment of the United Nations.
