Job Overview:
The position of Assistante ou Assistant du Réseau des Délégations involves providing comprehensive support to the network of delegations. The role is crucial for ensuring effective communication and coordination among various delegations, facilitating the flow of information, and assisting in the planning and execution of activities. The assistant will be expected to manage schedules, organize meetings, and prepare reports, ensuring that all delegations are aligned with the organization's goals and objectives. This position requires a proactive approach to problem-solving and the ability to work collaboratively in a multicultural environment. The assistant will also be responsible for maintaining databases and ensuring that all records are up-to-date and accessible to relevant stakeholders.

Duties and Responsibilities:
  • Provide administrative support to the network of delegations, including scheduling meetings, preparing agendas, and taking minutes.
  • Facilitate communication between delegations and the central office, ensuring timely dissemination of information.
  • Assist in the organization of events, workshops, and training sessions for delegation staff.
  • Maintain and update databases related to delegation activities and contacts.
  • Prepare reports and presentations as required by senior management.
  • Support the development and implementation of strategies to enhance the effectiveness of the delegations.
  • Collaborate with other departments to ensure alignment of activities and objectives.
  • Monitor and evaluate the performance of delegations, providing feedback and recommendations for improvement.

  • Perform any other duties as assigned by the supervisor.

Required Qualifications:
  • Strong organizational skills with the ability to manage multiple tasks and priorities.
  • Excellent written and verbal communication skills in both French and English.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Ability to work independently and as part of a team in a multicultural environment.
  • Strong analytical and problem-solving skills.
  • Attention to detail and a commitment to quality work.
  • Experience in administrative support or a related field is preferred.

Educational Background:
A bachelor's degree in international relations, public administration, business administration, or a related field is required. Additional certifications in project management or administrative support are a plus.

Experience:
A minimum of 2 years of experience in administrative support or a similar role is required. Experience working in an international organization or a non-profit sector is highly desirable. Familiarity with the operations of delegations or similar entities will be an advantage.

Languages:
Fluency in French is mandatory, while proficiency in English is also required. Knowledge of additional languages is considered an asset and may enhance the candidate's profile.
