Job Overview:
The OECD's Centre for Entrepreneurship, SMEs, Regions and Cities (CFE) is seeking dynamic and experienced Assistants to support the efficient operation of the Directorate. The role involves a broad range of secretarial, coordination, planning, and administrative tasks. The selected candidates will work closely with colleagues in one of CFE's divisions or the Director's office, under the supervision of the Director or the respective Head of Division. The position requires a proactive approach to managing tasks and responsibilities in an autonomous work environment, ensuring that the division's activities run smoothly and effectively.

Duties and Responsibilities:
The Assistant will be responsible for various administrative tasks, including contributing to the planning of activities, drafting correspondence, preparing memos and reports in both official languages, and managing contracts for external contributors. They will monitor requests for information, maintain effective records management systems, and assist in preparing materials for the organization's website. Additionally, the Assistant will organize staff missions, process expense claims, and ensure compliance with organizational procedures. They will also assist in organizing official meetings, workshops, and conferences, handling logistical arrangements, and providing secretarial support during these events. The role requires collaboration with other support staff and maintaining good working relations with high-level officials and stakeholders.

Required Qualifications:
The ideal candidate should possess a good secondary level of education, with training in office management or as a secretary/assistant being advantageous. Proven relevant experience as an assistant, preferably in an international organization, is essential. Candidates should have excellent knowledge of administrative rules and procedures, or the ability to quickly learn them. Experience in updating website content is also considered an asset. Proficiency in Microsoft Office Suite and the ability to learn new software packages used by the organization are required. Candidates should demonstrate core competencies such as vision and strategy, enabling people, ethics and integrity, collaboration, achieving results, and innovation.

Educational Background:
Candidates are expected to have a good secondary level of education. Additional training in office management or as a secretary/assistant would be beneficial and may enhance the candidate's profile for this position.

Experience:
The position requires proven relevant experience as an assistant, ideally within an international organization. Candidates should demonstrate familiarity with administrative rules and procedures or show the capability to learn and adapt to new regulations quickly. Experience in managing content for websites is also a plus, indicating a well-rounded professional background suitable for the role.

Languages:
Fluency in one of the two official OECD languages, English and French, is mandatory, along with knowledge of the other language and a commitment to achieving a good working level. Knowledge of additional languages would be considered an asset, enhancing communication capabilities within the diverse international environment of the OECD.

Additional Notes:

The vacancy will be used to fill multiple positions, with the appointment type determined based on the needs of the Directorate. The monthly salary starts at 3,809.51 EUR, plus allowances based on eligibility, and is exempt from French income tax.
