Job Overview: This internship-position" style="border-bottom: 1px dotted #007bff !important;">internship position is situated within the Administrative Unit of the Investigations Division (ID) of OIOS. The intern will play a crucial role in supporting the Division's administrative functions, which include planning, implementing, and reporting on resource utilization. The internship is designed to provide hands-on experience in various administrative tasks, including workforce analysis, recruitment support, and inventory management. Interns will have the opportunity to engage in meaningful projects that contribute to the overall effectiveness of the Division, while also gaining insights into the workings of a major international organization. The position requires a commitment of at least 20 hours per week, with flexibility for both in-person and remote work, and is expected to last between 3 to 6 months.
Duties and Responsibilities: The intern will be responsible for a variety of tasks that support the Investigations Division's administrative functions. Key responsibilities include:
Analyzing and updating the Division's workforce statistics to assist in workforce planning and analysis.
Conducting research to improve reporting and vacancy planning.
Supporting recruitment activities, including outreach, communication with candidates, preparing assessments, and scheduling interviews.
Updating and maintaining the Division's staffing table, address list, and telephone directory.
Filing personnel records electronically, including performance documents and training certificates.
Assisting with staffing level reviews and preparation of post classification documents.
Helping with the archiving of hard copy folders related to investigations and HR documents.
Managing inventory by identifying equipment, scanning asset codes, and verifying physical equipment.
Providing administrative support for remote office operations and staff members working remotely.
Required Qualifications: Applicants must meet one of the following criteria: (a) be enrolled in or have completed a graduate school program (second university degree or equivalent, or higher); (b) be enrolled in or have completed the final academic year of a first university degree program (minimum bachelor’s degree or equivalent). While professional work experience is not required for the UN Internship Programme, a field of study closely related to Administration or Programme Management is essential. Applicants must also demonstrate proficiency in standard software applications, including MS Excel, MS Outlook, MS Word, MS PowerPoint, and MS SharePoint. Previous experience in administrative support, Human Resources Administration, statistics, and inventory management is desirable.
Educational Background: Candidates must be either students in their final year of a first university degree (bachelor or equivalent), or enrolled in or have completed a Master’s or Ph.D. Programme. Proof of enrollment or completion must be provided with the application. The educational background should ideally be in fields related to Administration or Programme Management, ensuring that candidates possess the necessary theoretical knowledge to support the administrative functions of the Division effectively.
Experience: While no professional work experience is required for this internship, any previous experience in administrative support, Human Resources Administration, or statistics will be considered advantageous. Experience in inventory and database management is also desirable, as it aligns with the responsibilities of the internship. The focus is on candidates who can demonstrate relevant skills and knowledge through their academic background or any practical experiences they may have had.
Languages: Fluency in spoken and written English is mandatory for this internship, as English is one of the working languages of the United Nations Secretariat. Knowledge of another official UN language, such as French, is considered an advantage and may enhance the candidate's application.
