Job Overview: CIMMYT is seeking a dynamic, self-motivated, and service-oriented professional for the position of Transformation Office Coordinator. This role is crucial for implementing and supporting the current processes of the Transformation Office, which is responsible for overseeing strategic alliances and transformation programs. The position will be based at CIMMYT headquarters in Texcoco, State of Mexico, near Mexico City. The Transformation Office Coordinator will play a key role in managing programs and projects, ensuring that timelines, milestones, and deliverables are met, while also providing administrative support to the Chief Transformation Officer (CTO).
Duties and Responsibilities: The Transformation Office Coordinator will have a variety of responsibilities, including:
Managing Programs and Projects: Tracking the progress of strategic alliances, transformation programs, and projects, ensuring that timelines, milestones, and deliverables are met. Assisting in the development and monitoring of project plans, budgets, and performance indicators. Compiling and analyzing data related to the Transformation Office's initiatives and preparing regular progress reports for the CTO. Identifying potential risks or delays in project implementation and suggesting mitigation strategies.
Meeting Preparation and Follow-up: Coordinating meetings and events led by the Transformation Office, including scheduling, agenda preparation, participant coordination, and logistical arrangements. Assisting in the preparation of background materials, briefing notes, and presentations for meetings. Taking detailed minutes during meetings, clearly documenting discussions, decisions, and action items. Following up on action items with relevant stakeholders to ensure timely progress and completion.
Communications & Coordination: Serving as a point of contact for the Transformation Office, ensuring effective communication and coordination between the CTO, other staff, and external stakeholders. Supporting the CTO in engaging with various internal and external stakeholders, including partners, donors, and consultants. Assisting in developing communication materials to promote the Transformation Office's initiatives, achievements, and updates.
Administrative Support: Providing day-to-day administrative support to the CTO, including managing schedules, booking appointments, organizing travel arrangements, and handling correspondence. Assisting in drafting documents, presentations, reports, and other communication materials as required.
