The UNOPS South East Asia Multi-Country Office (EAPMCO) was established in January 2023, following the merger of the Thailand Multi-Country Office and the Cambodia Multi-Country Office. It supports, develops, and oversees a portfolio of projects across 24 countries in North East Asia, South East Asia, and the Pacific. The office focuses on various sectors including Energy Transition, Digital Transformations, Sustainable Environmental Management, Climate Change, Waste Management, Rule of Law, Access to Justice, Water, Sanitation and Hygiene (WASH), Post Conflict Reintegration, Emergency Relief, Post COVID19 Economic Transformations, and Health. The head office in Bangkok provides strategic direction and operational support, ensuring quality standards across all locations. In 2024, the office implemented projects worth over USD 80 million, demonstrating its commitment to impactful development initiatives in the region.

Job Overview:
The Administrative Intern at ETP will join a dynamic team and take on significant responsibilities under the direct supervision of the Senior Fund Manager. The intern's primary role is to support the Fund Management team by undertaking various administrative tasks to ensure the smooth functioning of the ETP Secretariat. This includes organizing meetings, preparing documents, managing travel arrangements, and maintaining accurate records. The intern will also be involved in procurement and recruitment tasks, as well as supporting the preparation of ETP Steering Committee meetings. The position offers a unique opportunity to gain hands-on experience in international development and project management within a multi-stakeholder partnership focused on energy transition in Southeast Asia.

Duties and Responsibilities:
The intern will be responsible for a wide range of administrative duties, including but not limited to: organizing virtual and in-person meetings and events, preparing meeting documents, compiling meeting minutes, and following up on action points. The intern will assist with procurement and recruitment tasks, manage travel arrangements for ETP staff, and ensure timely responses and proper documentation for payment processing. Additionally, the intern will support projects' payment transaction tasks, prepare files and supporting documents, and upload them onto relevant systems. The intern will also help prepare and organize ETP Steering Committee meetings, collect and synthesize data for reports and presentations, maintain accurate records of program data and documents, and follow ETP operating manuals to ensure compliance. Other secretarial duties may be assigned as required by the supervisor or ETP management.

Required Qualifications:
Candidates must possess a minimum first-level university degree (Bachelor's or equivalent) in Public Administration, Development Studies, Social Sciences, or other relevant fields. They must be enrolled in a university program such as a Bachelor's, Master's, or Ph.D. (or equivalent) or have graduated from such studies within three years prior to the application date. Some professional experience in Administration, International Development, or a relevant field is desirable. Strong computer literacy in MS Office, particularly in Word, PowerPoint, and Excel, is preferred. Candidates should have strong interpersonal and communication skills, be highly organized, and possess attention to detail. They must be tactful, discreet, and diplomatic, with the ability to communicate effectively at all organizational levels. Flexibility and adaptability to work under pressure and manage multiple priorities are essential.

Educational Background:
The educational background required for this position includes a minimum first-level university degree (Bachelor's or equivalent) in relevant fields such as Public Administration, Development Studies, or Social Sciences. Candidates must also be currently enrolled in a university program or have graduated within the last three years, ensuring they have recent academic experience relevant to the internship.

Experience:
The position requires some professional experience in Administration, International Development, or a related field. While extensive experience is not mandatory, candidates should demonstrate familiarity with administrative processes and the ability to work effectively in an international or multicultural environment. Strong organizational skills and the ability to manage multiple tasks are essential for success in this role.

Languages:
Fluency in English (reading, writing, and speaking) is mandatory for this position. This proficiency is crucial for effective communication within the team and with external stakeholders. Additional language skills may be considered an asset but are not explicitly required for this internship.

Additional Notes:
The internship contract is for a duration of 6 months, with the possibility of extension up to 12 months, depending on organizational requirements, availability of funds, and satisfactory performance. It is important to note that this internship is not designed to lead to a staff position with UNOPS, and there should be no expectation of employment at the end of the internship. Interns may be eligible for a monthly stipend from UNOPS, provided they do not receive funds from other institutions. Additionally, UNOPS may offer a one-time travel lump sum, but interns are responsible for their own accommodation, travel, and visa arrangements.
