Job Overview:
The Human Resource & Administrative Assistant position at UNFPA is designed for a National UN Volunteer who will support the HR and administrative functions within the organization. This role is crucial in ensuring that the HR services are delivered effectively and efficiently, focusing on recruitment processes, onboarding of new staff, and maintaining HR records. The assistant will work under the supervision of the HR & Admin Associate and the Operations Manager, contributing to the overall mission of UNFPA by upholding the values of integrity, commitment, and cultural sensitivity. The position requires a proactive individual who can manage multiple tasks, maintain documentation, and support the HR team in achieving its objectives.

Duties and Responsibilities:
The duties and responsibilities of the Human Resource & Administrative Assistant include:
  • Supporting HR services by assisting with the recruitment process for individual consultants and field consultants, preparing job advertisements, and maintaining recruitment documentation.
  • Keeping track of recruitment status and managing the master tracker for field consultants, including contract management.
  • Preparing onboarding checklists and assisting in the onboarding process for new joiners.
  • Coordinating exit clearance activities and maintaining various staff reports such as the Staff Master Sheet and organogram.
  • Tracking contract expirations and supporting timely confirmations for contract extensions or closures.
  • Preparing requisitions in the Quantum system and maintaining electronic filing systems for HR records.
  • Supporting the documentation of business processes and preparation of internal HR management Standard Operating Procedures (SOPs).
  • Assisting in periodic physical inventory inspections and maintaining updated inventory records.
  • Performing any other duties as assigned by the supervisor and senior management.

Required Qualifications:
Candidates must demonstrate a commitment to the values of UNFPA and possess strong organizational skills. They should have the ability to manage data and documents effectively, as well as demonstrate logistical support capabilities. The role requires proficiency in managing information and workflow, planning, organizing, and multitasking. Additionally, candidates should have a good understanding of financial processes and possess job knowledge or technical expertise relevant to the HR function.

Educational Background:
A minimum of a bachelor’s degree in human resources, business administration, or a related field is required. Additional certifications in HR management or administration would be advantageous and demonstrate a commitment to professional development in this area.

Experience:
Candidates should have at least 1-2 years of relevant experience in human resources or administrative roles. Experience in a UN agency or similar international organization is preferred, as it would provide valuable insights into the operational standards and practices of UNFPA.

Languages:
Fluency in English is mandatory, both written and spoken. Knowledge of Hindi or other local languages would be considered an asset, as it would facilitate communication within the diverse cultural context of India.

Additional Notes:
This position is a national UN Volunteer assignment based in New Delhi, India. The contract duration is subject to availability of funding and operational necessity, with no expectation of renewal. The monthly Voluntary Living Allowance (VLA) is INR 51,969.20, along with a one-time entry lump sum payment of USD 400 and relocation costs of $200 if applicable. Volunteers will receive comprehensive insurance coverage and are entitled to 2.5 days of annual leave per month. Access to learning and career development resources is also provided.
