Job Overview:
The Project Assistant will play a crucial role in supporting the project 'Improving Worker Rights in Rural Sectors of the Indo-Pacific with a focus on Women,' funded by the US Department of Labor. This project aims to enhance workers' rights, particularly focusing on women workers in rural sectors of Indonesia and the Philippines. The Project Assistant will be based in Bahodopi and will report directly to the National Project Coordinator (NPC). The role involves collecting and managing data related to project activities, assisting in the coordination and monitoring of project implementation, and ensuring that all administrative tasks are completed efficiently. The Project Assistant will also be responsible for maintaining project files, preparing reports, and organizing meetings and events related to the project. This position requires a proactive individual who can work independently and manage multiple tasks effectively while adhering to deadlines.

Duties and Responsibilities:
The Project Assistant will have a wide range of responsibilities, including but not limited to: collecting data and information on project activities, maintaining and updating relevant information systems and databases, and keeping project administrative files for monitoring and evaluation purposes. The assistant will also search for and select information for reports, correspondence, and technical papers. They will assist the supervisor in coordinating project activities, monitor budget utilization, prepare supporting documents for expenditures, and make travel arrangements for project-related missions. Additionally, the Project Assistant will draft correspondence and reports, organize meetings and workshops, provide secretariat support, and maintain inventory records of equipment. The role requires attention to detail and the ability to follow up on decisions made during meetings.

Required Qualifications:
Candidates must have completed secondary school education and possess formal training in a relevant administrative area. They should have at least six years of progressively responsible administrative work experience, including supervisory experience. Experience with the United Nations Common System or an international organization is desirable. Proficiency in standard office software packages, such as Microsoft Word, Excel, and PowerPoint, is required, along with experience in handling confidential matters with discretion. Knowledge of the relevant project and program areas, as well as the operations of the ILO, would be advantageous.

Educational Background:
The minimum educational requirement for this position is the completion of secondary school education. Candidates should also have formal training in an administrative field that is relevant to the duties of the Project Assistant role. This educational background is essential to ensure that the candidate has the foundational knowledge necessary to perform the administrative tasks effectively.

Experience:
The position requires a minimum of six years of progressively responsible administrative work experience. This experience should include supervisory responsibilities, demonstrating the ability to lead and manage a team effectively. Candidates with experience in similar roles within the United Nations system or other international organizations will be given preference. Practical experience with standard office software and automated information management systems is also essential for this role.

Languages:
Candidates must have an excellent command of both English and Bahasa Indonesia. Proficiency in these languages is crucial for effective communication within the project and with stakeholders. Additional language skills may be considered an asset but are not mandatory for this position.

Additional Notes:
This is a fixed-term contract position for a duration of 12 months, with the possibility of extension based on performance and availability of funds. The role is classified at Grade G6, and the appointment of external candidates will typically be made at the first step of this grade.
