Job Overview: The Executive Associate position is crucial for ensuring the effective and efficient functioning of the UN Resident Coordinator's front office in Niamey, Niger. The role involves managing the Resident Coordinator's schedule, handling logistical requirements, maintaining protocol procedures, and ensuring smooth information flow within the office. The Executive Associate will work closely with the Head of Office and the Resident Coordinator, providing administrative support and ensuring that all correspondence and documents adhere to UN standards. This position requires a high level of confidentiality and professionalism, as the Executive Associate will interact with high-ranking officials and manage sensitive information. The role also includes organizing official events, coordinating communications, and supporting human resources management for the office staff.
Duties and Responsibilities: The Executive Associate will be responsible for a wide range of duties, including:
Ensuring the effective functioning of the RC office by managing the supervisor's calendar, arranging appointments and meetings, providing protocol coverage, and coordinating briefing materials for the Resident Coordinator.
Drafting correspondence and ensuring compliance with UN norms, managing travel arrangements, and maintaining rosters of high-level partners.
Supporting effective communication within the office by maintaining filing systems, screening incoming calls, and coordinating activities for staff engaged for the RC.
Assisting in human resources management by providing support for relocation matters and drafting routine correspondence.
Performing general administrative duties, including coordinating with service units, monitoring accounts, and organizing seminars and conferences.
Required Qualifications: Candidates must possess a high school diploma or equivalent. An Advanced Level Certificate or a relevant first-level university degree may be accepted in lieu of two years of required experience. A minimum of seven years of progressively responsible experience in secretarial, administrative, program, budget/financial, human resources management, public relations, or official protocol is required. Experience in front office management and providing administrative support within the UN system or international organizations is desirable. Familiarity with Enterprise Resources Planning (ERP) systems, such as Umoja, is also advantageous.
Educational Background: The educational requirements for this position include a high school diploma or equivalent. An Advanced Level Certificate (Brevet de Technicien Supérieur en Administration) or a License in literature is desirable. A relevant first-level university degree may be accepted in lieu of two years of required experience, indicating that candidates with higher education may have an advantage in the selection process.
Experience: Candidates should have a minimum of seven years of progressively responsible experience in relevant fields such as secretarial, administrative, program, budget/financial, human resources management, public relations, or official protocol. This experience should demonstrate a strong capability in managing office functions and supporting senior executives. The minimum years of relevant experience can be reduced by two years for candidates who possess a first-level university degree. Experience in front office management and working within the UN system or similar international organizations is highly desirable, as is experience with data analytics or related areas.
Languages: Fluency in oral and written French is required for this position, as it is one of the working languages of the United Nations Secretariat. A working knowledge of English is desirable, and knowledge of another official United Nations language is considered an advantage. Fluency is defined as a rating of 'fluent' in all four areas (reading, writing, speaking, understanding), while knowledge is rated as 'confident' in two of the four areas.
