Job Overview: The Assistant·e Exécutif·ve plays a crucial role in supporting the Country Representative of ONU Femmes by managing their agenda, organizing meetings, and ensuring effective communication within the office and with external partners. This position requires a proactive approach to facilitate the flow of information and assist in administrative tasks that contribute to the overall mission of ONU Femmes. The assistant will be responsible for maintaining an organized and efficient office environment, which is essential for the smooth operation of the organization’s activities.
Duties and Responsibilities:
Provide executive support to the Country Representative by managing their schedule, appointments, and meetings; organizing travel arrangements and hotel bookings; and handling calls with discretion.
Offer administrative support for meetings, events, and workshops, including organizing and attending meetings, taking minutes, and preparing presentations.
Ensure effective communication and information management by facilitating information flow between the Representative's office and other units, prioritizing correspondence, and maintaining organized records.
Support external relations by managing communications with partners, welcoming official visitors, and coordinating logistics for visits.
Contribute to knowledge management and sharing best practices within the office and across other units.
Execute any other tasks relevant to the role to ensure the effective functioning of the office and organization, including travel management and scheduling for drivers.
Required Qualifications: Candidates must possess a minimum of secondary education, with a preference for a university degree in business administration or a related field. Proficiency in administrative procedures and the ability to handle confidential information are essential. Candidates should also demonstrate strong organizational skills and the ability to manage multiple tasks effectively.
Educational Background: Completion of secondary education is required, while a university degree in business administration or a related field is desirable. This educational background will provide the necessary skills and knowledge to perform the duties associated with the position effectively.
Experience: A minimum of 5 years of progressively responsible experience in administration, secretarial work, or program support is required. Candidates should have experience using Microsoft Office software and online management systems, with a preference for familiarity with modern ERP systems, particularly Oracle Cloud.
Languages: Fluency in French is mandatory, and proficiency in English is necessary. Knowledge of another official UN language (Arabic, Chinese, Russian, or Spanish) is considered an asset, enhancing the candidate's ability to communicate in a diverse environment.
