Job Overview:
The Language Service Assistant position is crucial for supporting the Chief of the Languages Service in various administrative and office management tasks. The role requires the incumbent to perform a wide range of functions independently and effectively, including providing reference assistance, managing files, and ensuring the smooth operation of computer systems and services for the staff. The assistant will also be involved in research related to official UN documents and will assist in the organization and distribution of reference materials. This position is designed for individuals who are detail-oriented, capable of multitasking, and possess strong organizational skills. The assistant will also be responsible for compiling productivity statistics and assisting in data analysis and presentations, which are essential for informed decision-making within the service.

Duties and Responsibilities:
The Language Service Assistant will undertake a variety of duties, including but not limited to: performing office management and administrative support functions; providing reference assistance and basic computer technical support; conducting research on UN documents and other relevant materials; maintaining and organizing files in both electronic and hard copy formats; managing the procurement and distribution of reference books and periodicals; ensuring the provision of computer equipment and email services; assisting in the compilation of productivity statistics; performing general administrative functions such as maintaining attendance records; assisting with data collection and analysis; updating information materials; and covering for other staff members as needed. The assistant will also be expected to carry out any other tasks as requested by the Chief of Service, demonstrating flexibility and a willingness to support the team in achieving its goals.

Required Qualifications:
Candidates must possess a high school diploma or equivalent. Additionally, at least seven years of experience in general office support or a related area is required. This experience requirement is reduced to five years for candidates with a first-level university degree or higher. Desirable qualifications include experience in data analytics, terminology, document management, and providing administrative support to senior officials. The role demands a strong understanding of office procedures and the ability to manage multiple tasks efficiently.

Educational Background:
A high school diploma or equivalent is mandatory for this position. Candidates with higher educational qualifications, such as a first-level university degree, may have reduced experience requirements, highlighting the importance of formal education in enhancing job prospects within the UN framework.

Experience:
The position requires a minimum of seven years of relevant experience in general office support or a related field. However, candidates with a first-level university degree or higher may qualify with five years of experience. Additional desirable experience includes at least one year in data analytics, terminology, or document management, as well as experience in providing administrative support to senior officials, which is beneficial for the role.

Languages:
Fluency in English or French is required, as these are the working languages of the United Nations Secretariat. Knowledge of the other language is also necessary.
