The UNOPS South East Asia Multi-Country Office (EAPMCO) was established in January 2023, following the merger of the Thailand Multi-Country Office and the Cambodia Multi-Country Office. It supports, develops, and oversees a portfolio of projects across 24 countries in North East Asia, South East Asia, and the Pacific. The office focuses on various sectors including Energy Transition, Digital Transformations, Sustainable Environmental Management, Climate Change, Waste Management, Rule of Law, Access to Justice, Water, Sanitation and Hygiene (WASH), Post Conflict Reintegration, Emergency Relief, Post COVID19 Economic Transformations, and Health. The head office in Bangkok provides strategic direction and operational support, ensuring quality standards across all locations. In 2024, the office implemented projects worth over USD 80 million, showcasing its commitment to sustainable development and effective project management services.

Job Overview:
The Administration Associate plays a crucial role in delivering technical and administrative support services within the UNOPS framework. Reporting to the Head of Support Services and under the guidance of the Administration Senior Officer, the incumbent is responsible for supervising personnel and ensuring efficient service delivery in administration and logistics. This position promotes a client-oriented approach, ensuring that office resources are utilized effectively and cost-efficiently. The Administration Associate is expected to coordinate individual work areas, monitor team performance, and implement control mechanisms for administrative services. The role also involves providing logistics support, managing inventory, and ensuring compliance with UNOPS policies and regulations. The incumbent will facilitate team management, oversee logistics and asset management services, and contribute to knowledge building and sharing within the organization.

Duties and Responsibilities:
  • Management Support: Coordinate work areas, coach personnel, monitor team performance, implement control mechanisms for administrative services, administer inventory control, review travel authorizations, and compile data for financial planning.
  • Team Management: Facilitate high-quality results through effective work planning, performance management, and coaching. Ensure compliance with policies and best practices.
  • Logistics and Asset Management: Provide logistics support, oversee shipments and customs clearance, manage office supplies, and ensure efficient delivery of client services.
  • Knowledge Building: Organize training initiatives, contribute to knowledge networks, and synthesize lessons learned to improve administrative practices. The effective execution of these duties directly impacts the efficiency of the office's administrative services and enhances client satisfaction.

Required Qualifications:
Completion of secondary school is required, with a First University Degree in Business Administration, Public Administration, or equivalent disciplines being desirable but not mandatory. Administrative certification is an asset in the absence of a degree. Candidates should possess a minimum of six years of relevant experience in general administrative, logistics, or operations support services, preferably within national or international public or corporate organizations. Proficiency in MS Office and experience with web-based management systems are required, while familiarity with Enterprise systems like OneUNOPS is desirable.

Educational Background:
The position requires at least a completion of secondary school. A First University Degree in Business Administration, Public Administration, or equivalent disciplines is desirable but not essential. In cases where a degree is not held, administrative certification can be considered an asset, indicating a level of professional training in administrative functions.

Experience:
Candidates must have a minimum of six years of relevant experience in general administrative, logistics, or operations support services. Experience in the UN system organizations is considered an asset. Proficiency in computer applications and office software packages, particularly MS Office, is required. Familiarity with web-based management systems and experience in using Enterprise systems, including OneUNOPS, is also desirable.

Languages:
Full working knowledge of English is mandatory for this position. Knowledge of a second UN or regional working language is considered an asset, enhancing the candidate's ability to communicate effectively in a diverse work environment.

Additional Notes:
The contract type is a Local ICA Contract at level ICS 6 / LICA-6, with an ongoing duration subject to organizational requirements, availability of funds, and satisfactory performance.
