Job Overview: The Administration Associate plays a crucial role in providing technical and administrative support services within the UNOPS framework. Reporting to the Administration Senior Officer and the Head of Support Services, the incumbent is responsible for ensuring efficient service delivery in administration and logistics. This position requires a client-oriented approach, promoting quality and results while managing resources effectively. The Administration Associate will coordinate work areas, monitor team performance, and ensure compliance with UNOPS policies. The role also involves logistics and asset management, team management, and knowledge sharing, contributing to the overall efficiency of the office's operations.
Duties and Responsibilities: The duties of the Administration Associate include coordinating individual work areas, coaching personnel, monitoring team performance, implementing control mechanisms for administrative services, administering inventory control, reviewing travel authorizations, and compiling data for financial planning. The incumbent will facilitate team engagement, ensure compliance with policies, oversee logistics and asset management services, manage transportation services, and organize training initiatives. Additionally, the Administration Associate will compile information for cost-recovery bills and supervise external contractors for transportation services, ensuring effective service delivery and client satisfaction.
Required Qualifications: Candidates must have a minimum of six years of relevant experience in general administrative, logistics, or operations support services within national or international organizations. Proficiency in computer applications, particularly MS Office, and experience with web-based management systems are required. Familiarity with the UN system is desirable, and candidates should demonstrate strong organizational and communication skills, as well as the ability to work collaboratively in a diverse environment.
Educational Background: Completion of secondary school is required, while a first university degree in Business Administration, Public Administration, or equivalent disciplines is desirable but not mandatory. In the absence of a degree, administrative certification is considered an asset, indicating a preference for candidates with formal training in administration or related fields.
Experience: The position requires a minimum of six years of relevant experience in administrative, logistics, or operations support services. Experience within the UN system is advantageous, as is familiarity with Enterprise systems like OneUNOPS.
