Job Overview:
The Receiving and Inspection Assistant plays a crucial role in the supply chain operations of the organization. Under the direct supervision of the Supply Officer, the assistant is responsible for monitoring inbound shipments and advising the Integrated Warehouses on resource requirements. This includes assessing manpower needs, Material Handling Equipment (MHE) requirements, and space allocation in the warehouses. The assistant will also track and monitor the status of contracts and Purchase Orders (POs) in coordination with the Procurement department to ensure timely receipt of goods. Additionally, the role involves liaising with the Transport Unit to coordinate the movement of mission cargo and ensuring the efficient delivery of incoming and outgoing shipments. The assistant will analyze resource requirements and mobilization, maintain transaction history files, and conduct inventory performance analyses to ensure effective asset control and accountability within the warehousing operations.

Duties and Responsibilities:
The duties and responsibilities of the Receiving and Inspection Assistant include:
  • Liaising with Integrated Warehouses to monitor inbound shipments and advise on resource requirements.
  • Assisting in tracking and monitoring contracts and Purchase Orders (POs) to plan for the receipt of goods.
  • Coordinating with MOVCON and the Transport Unit on cargo movements and ensuring timely delivery.
  • Analyzing resource requirements for Material Handling Equipment and personnel for unloading.
  • Submitting regular reports on supply chain operations, including volumes and warehouse stocks.
  • Maintaining boards for Transport Unit movements and tracking cargo requests.
  • Developing and maintaining transaction history files using automated tools.
  • Conducting inventory performance analyses using various metrics.
  • Managing asset control procedures and ensuring accountability. 1
  • Verifying data accuracy in the assets control system and monitoring inventory records. 1
  • Identifying discrepancies in inventory and resolving issues with asset holders. 1
  • Encouraging capacity development among national staff and partners through training and mentoring. 1
  • Performing any other related tasks as required by the supervisor.

Required Qualifications:
The position requires a strong understanding of supply chain management and inventory control processes. Candidates should possess excellent analytical skills and the ability to work with various reporting tools and systems, including SAP/UMOJA. Strong communication and coordination skills are essential, as the role involves liaising with multiple stakeholders. The ability to work independently and as part of a team is crucial, along with a commitment to capacity development and training of national staff and partners.

Educational Background:
Candidates should have a relevant educational background, typically a degree in logistics, supply chain management, business administration, or a related field. Additional certifications in inventory management or supply chain operations would be advantageous and demonstrate a commitment to professional development in this area.

Experience:
The ideal candidate should have a minimum of 2-3 years of experience in supply chain management, logistics, or a related field. Experience working in a humanitarian or international organization is highly desirable. Familiarity with inventory management systems and reporting tools is essential, as well as experience in coordinating logistics and managing warehouse operations.

Languages:
Fluency in English is mandatory, as it is the working language of the organization. Knowledge of additional languages, particularly those relevant to the region, would be considered an asset and beneficial for communication with local stakeholders.
