Job Overview:
The National Individual Consultant will provide essential administrative and logistical support to UNFPA staff and their families relocating from New York to Nairobi. This role is crucial as UNFPA relocates a significant portion of its Programme Division to Nairobi to enhance field focus and better serve stakeholders. The consultant will collaborate closely with Human Resources Business Partners (HRBPs) and the Operations Manager for the Kenya Country Office, ensuring a smooth transition for new international hires and their families. The consultant will be supervised by the HRBP-ESARO on a daily basis, under the overall guidance of the HR Director. This position is vital for maintaining operational efficiency during the relocation process and ensuring that all logistical needs are met.

Duties and Responsibilities:
The consultant will be responsible for a wide range of administrative and logistical tasks, including:
  • Liaising with staff and HR teams to maintain a Master Tracker of all staff relocation details, including arrival dates, flight details, and interim accommodation arrangements.
  • Coordinating with the Bureau of External Services (BES) for staff Personnel Action Forms (PAFs) prior to their arrival.
  • Communicating staff arrivals to BES and ensuring the release of settling-in grant payments.
  • Facilitating the identification of international schools for staff dependents.
  • Liaising with the United Nations Department of Safety and security" style="border-bottom: 1px dotted #007bff !important;">Security (UNDSS) for security assessments of staff accommodations.
  • Coordinating security briefings for new hires with UNFPA and UNON security.
  • Facilitating processing of staff access to the UNON compound and staff IDs.
  • Facilitating airport transfers and hotel/furnished temporary housing reservations as requested.
  • Supporting the submission of documents to UNON protocol for work-dependent visa and residency permit processes. 1
  • Assisting in the processing of Tax PIN certificates, Drivers Licenses, and relevant IDs for staff and dependents. 1
  • Coordinating bank account opening processes for staff and dependents, including organizing bank familiarization sessions. 1
  • Supporting the importation and clearance of staff shipments of personal effects in collaboration with UNON. 1
  • Coordinating with local realtors to facilitate potential viewings of rental homes.

Required Qualifications:
Candidates must possess a high school education as a minimum requirement. A qualification in administration, logistics, project management, or a related field is also required. Additionally, candidates should have at least seven years of progressively responsible experience in managing projects, with a strong understanding of the UN operational business model and accountability requirements. Effective communication skills, both verbal and written, are essential, along with strong organizational skills and attention to detail. Proficiency in the use of MS Office suite products is also required.

Educational Background:
The educational background required for this position includes a high school diploma as a minimum. Further qualifications in administration, logistics, project management, or related fields are highly desirable and will enhance a candidate's suitability for the role.

Experience:
The position requires a minimum of seven years of relevant experience in managing projects, particularly within the context of UN operations. Candidates should demonstrate a progressive track record of responsibility and the ability to navigate complex organizational structures effectively. Experience in logistical coordination and administrative support is crucial for success in this role.

Languages:
Fluency in English is mandatory for this position. Proficiency in additional languages such as French and/or Spanish is considered desirable and may enhance a candidate's competitiveness for the role.

Additional Notes:
This consultancy is set to run from March 2025 to January 2026, aligning with UNFPA working hours in Nairobi. The consultant will work both from home and at the UNFPA office, utilizing their own laptop for tasks. Monitoring and progress control will occur through weekly meetings.
