Job Overview:
The Facilities Management Assistant will play a crucial role in the Accommodation Management Unit (AMU) of UNMISS. This position involves managing the housing needs of UNMISS personnel and ensuring that accommodation facilities are maintained and utilized effectively. The assistant will be responsible for the allocation of housing, managing conference room bookings, and processing requests for alterations to accommodations. The role requires a proactive approach to ensure that the high turnover of mission personnel is managed efficiently, particularly in light of the limited housing availability. The assistant will work closely with various stakeholders to ensure that all accommodation-related needs are met in a timely and efficient manner, demonstrating the UN's core values of inclusion, integrity, humility, and humanity.

Duties and Responsibilities:
The Facilities Management Assistant will undertake a variety of tasks including: participating in the development of technical specifications for accommodation items, conducting technical evaluations for procurement, responding to vendor inquiries, performing quality inspections of delivered items, collating accommodation requirements from field offices, preparing distribution plans, monitoring implementation progress, providing updates on procurement status, maintaining asset registers, managing inventory levels, coordinating with zone managers, processing requests through the iNeed system, organizing the delivery and setup of accommodation items, facilitating transfers of barcoded items, processing incident reports for damages, and supporting the Camp Reception with accommodation requests. The assistant will also be responsible for preparing individual work plans aligned with mission objectives and ensuring compliance with deadlines for tasks and evaluations.

Required Qualifications:
Candidates must possess strong organizational skills, attention to detail, and the ability to work under pressure. They should demonstrate adaptability and flexibility in a dynamic environment, as well as creativity in problem-solving. Professionalism and self-management are essential, along with a commitment to the UN's core values. The role requires effective communication and interpersonal skills to interact with diverse personnel and stakeholders.

Educational Background:
A minimum of a high school diploma is required, with a preference for candidates holding a degree in management, logistics, or a related field. Additional training or certifications in facilities management or procurement would be advantageous.

Experience:
Candidates should have at least two years of relevant experience in facilities management, logistics, or a related field. Experience working in a multicultural environment, particularly within the UN system or similar organizations, is highly desirable. Familiarity with procurement processes and inventory management is also beneficial.

Languages:
Fluency in English is mandatory, both written and spoken. Knowledge of additional languages spoken in South Sudan, such as Arabic or local dialects, would be considered an asset.
