Job Overview:
CIMMYT is seeking a dynamic, self-motivated, and service-oriented professional for the position of Hospitality Administrative Coordinator to work in the Hospitality Department. This position will be based at CIMMYT’s headquarters in Texcoco, near Mexico City. The role involves managing financial activities related to the Hospitality budget, ensuring compliance with financial requirements, and providing administrative support to the team. The coordinator will be responsible for planning, designing, executing, and monitoring budget activities, preparing financial reports, and overseeing procurement and administrative tasks to ensure timely completion of activities. The position requires a proactive approach to managing financial information and supporting the overall operations of the Hospitality Department.

Duties and Responsibilities:
The Hospitality Administrative Coordinator will have a comprehensive set of duties and responsibilities, including:
  • Finance Activities: Plan, design, execute, and monitor the activities of the Hospitality budget in coordination with the Hospitality manager. Participate in the Institutional yearly Budget Process, including revenues, administration and operational expenses, and CAPEX. Present reports, analyses, and progress updates on the budget and project statuses. Provide administrative guidance and support to staff, ensuring compliance with financial requirements. Manage petty cash and supervise income from the laundry and souvenir shop. Focus on cost accounting, indirect costs, and cost allocations. Oversee budget and analysis" style="border-bottom: 1px dotted #007bff !important;">financial analysis of Hospitality operations, including monthly monitoring of expenses and controlling variations to avoid over-expenditure. Prepare and send monthly and quarterly financial management information and reports, including budget versus actuals comparisons and analyses. Collaborate with different areas of the organization to gather necessary information for budget analysis. Respond to ad hoc requests for financial information.
  • Procurement and Administrative Activities: Provide administrative and logistic support to the team to ensure timely completion of activities. Review vendor invoices and bills before submission to the supervisor/finance. Organize and maintain efficient archive systems for the office. Assist in planning and forecasting inventory needs. Conduct in-country procurement to ensure effective management of the office in line with CIMMYT’s policies. Coordinate and validate procurement procedures to ensure task fulfillment and project objectives. Manage payments accurately and guarantee prompt payments to vendors, staff advances, and claims. Support vehicle administration.

Required Qualifications:
The ideal candidate for the Hospitality Administrative Coordinator position must possess the following qualifications:
  • A Bachelor’s degree in accounting or finance.
  • A minimum of 5 years of experience in finance, accounting, budgeting, forecasting, and expense analysis.
  • Experience in costing-based activities related to production and services.
  • Knowledge of financial systems, ERP, MS Office, and managing large databases, including data extraction methods and report presentation.
  • Demonstrated experience in preparing relevant and timely financial management information, including the use of visual information.
  • Strong analytical skills with the ability to identify financial trends.
  • Advanced Excel skills.
  • Ability to work independently, prioritize tasks, and plan effectively.
  • Proactive and flexible, capable of managing conflicting priorities and deadlines. 1
  • Strong customer service orientation and excellent communication skills with a high level of attention to detail.

Educational Background:
The educational background required for the Hospitality Administrative Coordinator position includes a Bachelor’s degree in accounting or finance. This foundational education is essential for understanding financial principles, accounting practices, and budget management, which are critical for the role.

Experience:
The position requires a minimum of 5 years of relevant experience in finance, accounting, budgeting, forecasting, and expense analysis.
