Job Overview: The COE Assistant will work within a team of COE Inspectors/Assistants, reporting to the Chief COE/MOU Management Unit. The primary responsibilities include conducting inspections of contingent units to ensure compliance with the Memorandum of Understanding (MOU) between the troop-contributing countries (T/PCC) and the UN. The COE Assistant will be tasked with maintaining the e-COE System, preparing verification reports, and producing customized reports for various stakeholders. The role also involves advising contingent staff on COE/MOU matters, identifying equipment deficiencies, and managing documentation related to inspections and operational readiness. The COE Assistant will play a crucial role in ensuring that the mission's operational requirements are met and that all units are adequately equipped and prepared for their responsibilities.
Duties and Responsibilities:
Conduct inspections of contingent units, including Arrival, Periodic, Operational Readiness, and Repatriation inspections, to verify compliance with MOU responsibilities.
Prepare and submit verification reports in the UCM system for approval by the COE Programme Manager.
Maintain the e-COE System, ensuring data quality and accuracy.
Produce standard and customized reports using e-COE data for various stakeholders.
Maintain accurate contingent tables of organization and equipment (TOE) and ensure proper documentation of inspections.
Advise contingent staff on COE/MOU-related matters and recommend corrective actions for non-compliance.
Identify deficiencies and surpluses of equipment and capabilities and recommend actions to address them.
Produce weekly and monthly reports for the COE Programme Manager.
Organize and coordinate meetings, drafting minutes for review. 1
Process monthly Uniformed Strength Reports (USRs) and ensure their endorsement in the UCM system. 1
Manage claims for Daily Allowance and Recreational Leave Allowances. 1
Draft reports and interoffice memos as required. 1
Manage the Unit’s SharePoint, ensuring it is updated regularly. 1
Perform additional duties as assigned by the COE Programme Manager. 1
Engage in UNV activities and promote volunteerism in the host country.
