Job Overview: The Executive Assistant to the Chief Scientist/SVP plays a crucial role in providing confidential administrative and operational support for the Science program at WWF. Duties and Responsibilities: The Executive Assistant will coordinate and maintain the calendar for the Chief Scientist/SVP, proactively reconciling conflicts. Responsibilities include organizing meetings, travel, training, and other events, as well as preparing meeting materials and itineraries. The assistant will manage extensive domestic and international travel arrangements, ensuring all logistics are handled efficiently. Additionally, the role involves answering complex inquiries, screening calls, and attending meetings as a representative of the department. The assistant will monitor incoming emails, manage contacts, and track deadlines, providing proactive reminders. Other duties include drafting documents, maintaining filing systems, and supporting the team in various operational tasks. The assistant will also coordinate performance evaluations, recruitment processes, and onboarding for new hires, ensuring a smooth transition into the organization.
Required Qualifications: Candidates must possess a Bachelor’s degree and have at least five years of progressively responsible experience in administrative roles, including a minimum of two years in an executive office. A high degree of knowledge and application of executive and administrative competencies is essential, along with excellent organizational and analytical skills. The ability to operate independently, prioritize tasks, and meet deadlines is required.
