Job Overview: The Strategic Operations Advisor will work in the Executive Office within the Operations Chapter at CIMMYT’s headquarters in Texcoco, near Mexico City. This position is designed for a dynamic, self-motivated, and service-oriented professional who will assist the Chief Operations Officer (COO) in overseeing the day-to-day operations of the Operations Chapter. The advisor will ensure that all departments function efficiently and effectively, contributing to the overall strategic goals of the organization. The role involves significant planning, coordination, and communication responsibilities, including drafting and preparing presentations, business plans, and standard operating procedures (SOPs) in English. The advisor will also organize and coordinate meetings led by the COO and facilitate internal communication within the Operations Chapter and with other chapters to enhance collaboration.
Duties and Responsibilities: The duties and responsibilities of the Strategic Operations Advisor include:
Planning, Coordination, and Communication: Drafting and preparing various documents, including presentations and business plans, ensuring accuracy and effective communication. Organizing and coordinating meetings for the COO and preparing necessary materials. Facilitating internal communication within the Operations Chapter and with other groups.
Follow-Up and Monitoring: Preparing meeting minutes and executive reports to document outcomes and action plans. Monitoring the implementation of follow-up actions and providing regular reports on ongoing activities.
Confidential Matters: Handling sensitive information with confidentiality and supporting confidential projects.
Language and Software Management: Exhibiting excellent verbal and written communication skills in English and proficiently using relevant software tools. Troubleshooting basic operational issues and coordinating with support areas as needed.
Deliverables: Providing ongoing support, coordination, and monitoring, including drafting documents for the COO.
Required Qualifications: The selected candidate must possess an MBA in Public Administration, Business Administration, or a related field. An advanced level of English (written and conversational) is required, with a minimum score of C1 on the CEFR. The candidate should demonstrate strong service orientation, excellent analytical and problem-solving skills, and outstanding organizational skills, including time management and resource management. Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiarity with the International Organizations/NGO sector is essential. The candidate must also exhibit competencies such as critical thinking, teamwork, client orientation, problem-solving, decision-making, negotiation, and conflict resolution.
Educational Background: Candidates must have an MBA in Public Administration, Business Administration, or a related field. This educational background is crucial for understanding the complexities of operations within an international organization and for effectively supporting the COO in strategic decision-making processes.
Experience: The position requires candidates to have relevant experience in operations management, project coordination, or a similar role within an international organization or NGO. Experience in a multicultural environment is highly valued, as it contributes to the candidate's ability to navigate diverse stakeholder interactions and enhance collaboration across teams.
Languages: The mandatory language for this position is English, with a requirement for advanced proficiency (C1 level). This includes both written and conversational skills. While English is the primary language, familiarity with Spanish or other languages may be considered an asset, enhancing communication within the local context.
