Job Overview: The Staff Assistant position is located within the Strategy and Programme Management Division (SPMD) of ESCAP. The incumbent will work under minimal supervision and report directly to the Director of the Division. The role involves providing substantive and administrative support to manage priorities and workflow within the division. The Staff Assistant will coordinate and monitor various activities and processes to ensure that management directives are executed effectively and that deliverables are met in a timely manner. The position requires strong organizational skills, the ability to handle complex information requests, and the capacity to manage communications between senior officials and the supervisor. The Staff Assistant will also be responsible for time management, scheduling, and representational duties, ensuring smooth operations within the division.
Duties and Responsibilities: The Staff Assistant will undertake a variety of responsibilities, including: assisting in the overall administration of the division, providing substantive and administrative support, coordinating and monitoring diverse activities, compiling and analyzing data from various sources, serving as a communications link between the supervisor and senior staff, managing time and scheduling, undertaking representational duties, screening and prioritizing correspondence, researching and summarizing background materials, independently handling complex information requests, supporting the manager in presentations, establishing administrative procedures, organizing official receptions and meetings, preparing and processing confidential information, managing administrative duties such as travel arrangements and expense statements, exercising quality control for outgoing documents, and updating internal databases and websites. The Staff Assistant will also perform other duties as assigned by the supervisor.
Required Qualifications: Candidates must possess a minimum of seven years of experience in general office support, administration, or a related area. If the candidate holds a first-level university degree, a minimum of five years of experience is required. Experience with Enterprise Resource Planning (ERP) systems, particularly Umoja/SAP, is desirable, especially in the context of travel management and data analytics. Familiarity with the United Nations Common System or similar international organizations is also preferred. Experience in working with senior officials and organizing official receptions and meetings is an asset, as is knowledge of the Correspondence Manual and Stakeholder Directory, including drafting and proofreading skills.
Educational Background: Completion of a high school diploma or equivalent is required for this position. A first-level university degree may be accepted in lieu of two years of required experience, providing candidates with a pathway to meet the educational qualifications necessary for the role.
Experience: The position requires a significant level of experience, specifically a minimum of seven years in general office support or administration. Candidates with a first-level university degree need at least five years of relevant experience.
