Job Overview: The Project Assistant will play a crucial role in supporting the Peace, Crisis Response, and Operations Unit within IOM Kyrgyzstan. This position involves planning, assisting, coordinating, and implementing various program activities. The Project Assistant will be responsible for monitoring project activities, compiling and analyzing data, and ensuring that project budgets are managed effectively. The role requires extensive liaison with different organizational units and external parties to facilitate project implementation. The Project Assistant will also draft reports and correspondence related to project issues, organize meetings and training sessions, and assist in coordinating activities with local authorities and stakeholders. This position is vital for ensuring that project objectives are met and that the organization maintains effective communication with all parties involved.
Duties and Responsibilities:
Assist in the implementation and monitoring of project activities, ensuring alignment with project goals and objectives.
Retrieve, compile, summarize, analyze, and present information/data on specific project topics.
Monitor project budgets, verify the availability of funds, obtain necessary approvals, and update budget-related information.
Act as the focal point for administrative coordination of project implementation, liaising with various organizational units and external parties.
Draft status reports, identifying shortfalls in delivery, and suggest remedial actions to the supervisor.
Prepare and update reports, briefing notes, graphics, statistical tables, and presentations.
Respond to complex information requests and inquiries, maintaining organized files and records.
Organize meetings, workshops, and training sessions, and participate in relevant conferences.
Assist in coordinating implementation activities with local authorities, partners, UN agencies, NGOs, donors, and other stakeholders. 1
Monitor the work of implementing partners and report any non-compliances to the supervisor. 1
Provide guidance and training to new or junior staff members. 1
Perform other related duties as assigned by the supervisor.
Required Qualifications:
School diploma with five years of relevant experience; or a Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited academic institution with three years of relevant professional experience.
Experience in liaising with governmental authorities, national/international institutions, UN agencies, and NGOs.
Experience working with migrants, refugees, internally displaced persons, victims of trafficking, and other vulnerable groups.
Prior work experience with international humanitarian organizations or government institutions in a multicultural setting is an advantage.
Strong project management skills, including monitoring, evaluation, and reporting capabilities.
Educational Background: Candidates must possess a school diploma with five years of relevant experience or a Bachelor’s degree in a relevant field from an accredited institution. Accredited universities are those listed in the UNESCO World Higher Education Database. The educational background should align with the responsibilities of the position, emphasizing political, social, or humanitarian studies.
Experience: The position requires a minimum of three years of relevant professional experience for candidates with a Bachelor’s degree, or five years for those with a school diploma. Experience should include working with governmental authorities, UN agencies, and NGOs, particularly in contexts involving vulnerable populations such as migrants and refugees. Familiarity with international humanitarian organizations is highly desirable.
Languages: Fluency in English and Russian is required for this position. Knowledge of Kyrgyz is highly desirable, as it will enhance communication with local stakeholders. Proficiency in these languages will be evaluated during the selection process, which may include written and/or oral assessments. IOM's official languages also include French and Spanish, but proficiency in these is not mandatory for this role.
Additional Notes: This position is subject to local recruitment, and only candidates holding a valid residence and work permit for Kyrgyzstan will be considered. The appointment will depend on the candidate's medical fitness, residency verification, and necessary government authorizations. The selection process may be used to fill similar positions in various duty stations, and recommended candidates will remain eligible for appointment in similar roles for 24 months.
