Job Overview: The Administration Associate position is crucial for the successful execution of the EU Central Asia Civil Society Facility project, which focuses on enhancing the participation of Central Asian Civil Society Organizations (CSOs) in regional dialogues. The role involves providing technical and administrative support to ensure the efficient operation of the project team. The incumbent will be responsible for logistics, asset management, and administrative services, ensuring compliance with UNOPS regulations. The position requires a proactive approach to client service and resource management, contributing to the overall effectiveness of the project and the satisfaction of stakeholders.
Duties and Responsibilities:
Logistics and Asset Management Support: Provide operational support for project activities, including payments and trip arrangements. Ensure compliance with UNOPS policies in logistics and asset management. Coordinate supply and asset management services, including inventory verification and customs clearance. Supervise transportation services and manage external contractors.
Transportation Services: Ensure all transport needs for management and office personnel are met, including security" style="border-bottom: 1px dotted #007bff !important;">security arrangements. Implement maintenance systems for office equipment and assess contract services for improvement.
Knowledge Building and Sharing: Participate in training events related to logistics and transport, contributing to knowledge networks and communities of practice. The overall impact of the Administration Associate's work will enhance the efficiency of administrative services and promote UNOPS as a credible partner in sustainable development.
Required Qualifications: Completion of secondary school is required, with a preference for candidates holding a Bachelor’s degree in Business Administration, Public Administration, or related fields. Administrative certification is considered an asset in the absence of a degree. Candidates must demonstrate a minimum of 4 years of administrative or operational experience in logistics and administration, with a proven ability to meet performance indicators and deliver results. Proficiency in computer and office software packages, particularly MS Office, is essential. Experience within UN system organizations is desirable but not mandatory.
Educational Background: Candidates must have completed secondary school, with a Bachelor’s degree in a relevant field being desirable. In cases where a degree is not held, administrative certification can be beneficial. This educational background is crucial for understanding the operational and administrative functions required for the role.
Experience: The position requires a minimum of 4 years of relevant administrative or operational experience, particularly in logistics and administration. Candidates with 2 years of experience combined with a Bachelor’s degree will also be considered. This experience should demonstrate the ability to meet performance indicators and deliver results effectively, showcasing a strong understanding of administrative processes and logistics management.
Languages: Full working knowledge of English and Russian is mandatory for this position. Additionally, knowledge of a regional working language is considered an asset, enhancing communication and collaboration within the Central Asian context.
Additional Notes: This position is offered under a Local ICA contract, specifically for Kazakhstan nationals. The contract is ongoing and subject to organizational requirements, availability of funds, and satisfactory performance.
