Job Overview: The Finance and Administrative Support Officer position is located within the Resources and Services Unit (RES) of the ISSA. The incumbent will be responsible for providing comprehensive financial and administrative support, which includes managing finances, procurement, internal control, human resources, travel arrangements, and ICT services. The role involves active participation in financial data management projects and supporting initiatives aimed at improving operational efficiency through advanced automation and collaboration systems. The incumbent will work under the direct supervision of the Head of RES and will be expected to contribute to various ISSA activities within their area of competence, ensuring that the organization's financial and administrative processes are efficient and effective.
Duties and Responsibilities: The duties and responsibilities of the Finance and Administrative Support Officer include:
Participating in the financial correspondence management project in SharePoint, which involves organizing and maintaining financial correspondence, scanning and archiving paper files, and ensuring a consistent file structure.
Coordinating and updating databases related to budget and financial information, monitoring activities and resources, and managing the issa-finance@ilo.org mailbox.
Supporting the optimization of online collaboration tools and business process automation solutions, including the rollout of new systems and processes.
Maintaining records of obligations and expenditures, conducting accounting operations related to accounts payable, and reconciling accounts.
Assisting with travel arrangements and financial tasks related to the recruitment of experts.
Supporting the drafting of financial and budgetary reports, including data collection and analysis for decision-making and reporting purposes.
Performing operational support activities in collaboration with other ISSA work units during meetings, conferences, and peak periods.
Required Qualifications: The required qualifications for the Finance and Administrative Support Officer position include a first-level university degree in finance or accounting, with a specialization in Business Administration and strong IT skills. Possession of an accountant certificate is desirable, and any additional training related to the work of RES would be advantageous. Candidates should have relevant work experience in finance, accounting, or auditing, with experience in Microsoft technologies such as Office 365, Business Central, PowerApps, and SharePoint being a distinct advantage.
Educational Background: Candidates must possess a first-level university degree in finance or accounting, with a specialization in Business Administration.
