Organizational Setting
The main aim of the FAO country offices, which are headed by an FAO Representative, is to assist governments to develop policies, programmes and projects to achieve security" style="border-bottom: 1px dotted #007bff !important;">security" style="border-bottom: 1px dotted #007bff !important;">food security and to reduce hunger and malnutrition, to help develop the agricultural, fisheries and forestry sectors, and to use their environmental and natural resources in a sustainable manner.
The position is located in the FAO Representation in Bangladesh and the incumbent will be based in Dhaka, Bangladesh.
Reporting Lines
Under the overall guidance of Regional HR Officer (RAP), supervision of the FAO Representative, direct supervision of the Assistant FAO Representative (Admin) and day to day close supervision of the Focal Point - HR Cluster of the representation and in close liaison with all other colleagues in the Representation and projects, the incumbent will carry out the following tasks:
Tasks and Responsibilities
Assist to process the recruitment/extension of contracts for all national and international staff and consultants;
Ensure staff hiring is carried out timely, efficiently, transparently and in compliance with organizational HR policy and procedures;
Assist to maintain personnel files for staff, ensuring all documentation is complete; maintain and update confidential information and documents, and ensure relevant documents are kept in their respective files;
Assist to manage electronic filing system;
Assist supervisor(s) in monitoring the contractual status of staff on various appointments; assist in the timely preparation and issuance of contract renewals and personnel action forms;
Assist to ensure full compliance of HR activities with FAO rules and regulations, policies, procedures and strategies;
Assist to ensure effective implementation of the internal control and functioning of the HR management system;
Review, answer and follow-up on standard requests, enquiries and claims regarding human resources matters, polices and procedures.
Work closely with all projects for the timeliness of emergency and non-emergency contracts
Support to develop and manage HR rosters for local positions;
Maintain HR records manually (in excel) in addition to the system generated list;
Maintain database and update regularly the list of different trainings being organized or conducted by FAO country office, regional office or HQ level or online courses offered by the different division of FAO/HQ;
Draft routine correspondences/letters on administrative and HR matters;
Share the progress/status report on the assigned activities on a regular basis;
Assist to arrange travel for all local and international staff and non-staff;
Assist to make hotel reservation for the international staff/consultants and missions and also ensure their pick-up and drop from and to the airport and hotel;
Contact with the travel vendors for necessary booking and issuance of tickets;
Process medical bill claims and liaise with the relevant medical insurance company for any query;
Process the Disbursement Vouchers (DV) related to the HR and travel related matters for settlement of invoices;
Assist to make liaise with Service desk (RAP/HQ) for necessary support on the relevant issues
Any other general administrative tasks to HR as assigned by the supervisor and/or by A-FAOR (Admin)
CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWINGMinimum Requirements
University degree in any discipline preferably with an advanced training on HR management.
At least 5 years of relevant experience in any reputed organization preferably with the UN.
Experience in the UN System or an International organization/institution will be an advantage.
Have good judgment and analytical skills;
Self-motivated and able to work with minimum supervision;
Ability to work under pressure in a professional manner;
Ability to work quickly and accurately;
Ability to establish and maintain a good working relationships with people of different national and cultural background;
Excellent computer skills (especially in MS-Word, MS-Excel and Outlook );
Working knowledge (level C) of English (spoken and written) and fluency in Bengali language;
