Job Overview: The PSP Assistant will play a crucial role in supporting the UNHCR's Private Sector Partnership (PSP) initiatives in Malaysia. This position is designed for a highly motivated and self-driven individual who will assist in the day-to-day operations of the face-to-face acquisition program. The primary focus will be on data reporting, donor inquiries, and administrative tasks related to fundraising activities. The PSP Assistant will work closely with the PSP Officer and Senior PSP Associate to manage relationships with external partners and ensure that the face-to-face program meets its key performance indicators (KPIs). This role also involves organizing training sessions for fundraisers and contributing to the development of fundraising materials that effectively engage the public and promote UNHCR's mission.
Duties and Responsibilities:
Assist the PSP Officer and Senior PSP Associate in managing relationships with external partners and in-house operations for the face-to-face acquisition program.
Consolidate data and reports from external parties and in-house operations to ensure accurate tracking of fundraising efforts.
Monitor and ensure that the KPIs of the face-to-face program are met according to the annual planning.
Organize and conduct training and engagement sessions for face-to-face fundraisers.
Provide administrative support for in-house operations, including fundraiser recruitment, site planning, and execution of fundraising activities.
Contribute to the development of fundraising assets and materials that are targeted and inspiring for public engagement.
Assist in preparing daily, weekly, monthly, and quarterly reports on the KPIs of the PSP unit, including income and cost budget monitoring.
Perform any other responsibilities as delegated by the supervisor(s).
Required Qualifications:
Completion of Secondary Education or University level education in communication, marketing, or related fields.
Minimum of 1 year of work experience for candidates with a High School Diploma, or no experience required for candidates with a Bachelor's degree or higher in sales or direct marketing.
Strong ability to manage a complex and diverse workload while meeting tight deadlines.
Ability to work independently without direct supervision.
Proficiency in computerized accounts packages, Excel, PowerPoint, and Word.
Excellent communication skills and ability to interact with individuals from diverse cultural and educational backgrounds.
Knowledge of refugee issues and familiarity with UNHCR or other human rights-oriented agencies is an asset.
Knowledge of additional UN languages, such as Mandarin or Cantonese, is a plus.
Strong analytical skills and familiarity with interpreting performance reports. 1
A mature, polite demeanor and the ability to work effectively as part of a team are essential.
Educational Background: Candidates are required to have completed Secondary Education, with a preference for those who have pursued University level education in fields such as communication, marketing, or other related disciplines. This educational background is essential for understanding the complexities of fundraising and donor engagement.
Experience: The position requires a minimum of 1 year of relevant work experience for candidates holding a High School Diploma. However, candidates with a Bachelor's degree or higher are not required to have prior work experience. Experience in sales or direct marketing is highly desirable, as it aligns with the responsibilities of engaging potential donors and managing fundraising activities.
Languages: Proficiency in English and Bahasa Malaysia is mandatory, with excellent written, oral, and comprehension skills. Knowledge of other UN languages, particularly Mandarin and Cantonese, is considered an asset, enhancing the candidate's ability to communicate with a broader audience and engage effectively with diverse communities.
