Job Overview: The Senior Administrative and Finance Associate will play a crucial role in supporting the financial and administrative functions of health projects managed by the IOM's Migration Health Division (MHD). This position requires a proactive individual who can manage various financial tasks, including processing payments, budgeting, and financial reporting. The associate will be responsible for generating financial reports from WAVE, coordinating the production of financial monitoring reports, and contributing to qualitative and quantitative analyses of financial data. The role also involves assisting in the review of financial transactions and ensuring the accuracy of financial dashboards. The associate will work closely with field missions and internal stakeholders to align financial processes and reporting requirements, ensuring compliance with IOM policies.
Duties and Responsibilities: The duties and responsibilities of the Senior Administrative and Finance Associate include:
Providing administrative and financial support services for health projects, including processing payments and invoices.
Generating financial reports from WAVE for monitoring and decision-making.
Coordinating the production and standardization of financial monitoring reports for global migration health programs.
Preparing and contributing to analyses of financial data to support program management decisions.
Reviewing financial transactions and monthly performance of health projects.
Coordinating the preparation of financial reports for dissemination to Regional Offices and governance bodies.
Maintaining and improving financial dashboards and supporting automation initiatives.
Validating and consolidating budget submissions and providing recommendations.
Contributing to the enhancement of financial tools and reporting systems. 1
Supporting audit processes and maintaining organized filing systems. 1
Assisting in project activation and financial closure activities. 1
Providing guidance and training on financial processes. 1
Collaborating with stakeholders to ensure alignment of financial processes.
Required Qualifications: Candidates must possess a Bachelor’s degree in Accounting, Finance, Business Administration, or a related field from an accredited institution, along with four years of relevant professional experience. Alternatively, a high school diploma with six years of relevant experience is acceptable. Candidates should have experience in financial monitoring, reporting, budgeting, and accounting. Familiarity with maintaining dashboards using Power Query and other data tools is essential. Knowledge of migration health projects is considered an advantage. Candidates should also demonstrate sound knowledge of accounting systems, including SAP or other ERP systems, and possess strong analytical and problem-solving skills.
Educational Background: The educational background required for this position includes a Bachelor’s degree in Accounting, Finance, Business Administration, or a related field from an accredited academic institution. Accredited universities are those listed in the UNESCO World Higher Education Database. A high school diploma is acceptable if accompanied by six years of relevant professional experience.
Experience: The position requires candidates to have a minimum of four years of relevant professional experience in financial monitoring, reporting, budgeting, accounting, or auditing. Experience in maintaining financial dashboards using Power Query and other data tools is also necessary. Organizational knowledge and experience in migration health projects will be considered an advantage, as it will enhance the candidate's ability to contribute effectively to the role.
Languages: Fluency in English is mandatory, and knowledge of additional languages is considered an asset. Proficiency in languages relevant to the regions where IOM operates may enhance a candidate's application, as it can facilitate communication with diverse stakeholders.
Additional Notes: The position is subject to funding confirmation, and the selection process may be used to staff similar positions in various duty stations. Recommended candidates will remain eligible for appointment in a similar position for a period of 24 months.
