Job Overview: The Project Management Support Officer plays a crucial role in the effective planning, implementation, and monitoring of projects in accordance with UNOPS policies and client requirements. This position involves providing operational, analytical, and administrative support to ensure that projects are delivered efficiently. The officer will be responsible for data management, reporting, procurement, financial, and logistical activities that contribute to the overall success of the projects. The role requires the collection, validation, and analysis of project data to generate insights that inform decision-making and enhance performance. The officer will also facilitate coordination among project teams, partners, and support services units, ensuring timely implementation of activities and compliance with established procedures. Additionally, the officer may undertake field missions to support data collection, training, and stakeholder engagement, thereby strengthening project systems and reporting tools.
Duties and Responsibilities: The duties and responsibilities of the Project Management Support Officer include:
Data Management, Analysis, and Reporting: Collecting, cleaning, structuring, and validating project data to ensure accuracy and reliability; developing and maintaining databases and information management systems for real-time project tracking; conducting statistical and qualitative analysis to identify trends and generate insights; preparing analytical reports and presentations for stakeholders; implementing automated tools for data accessibility; ensuring rigorous data quality checks.
Project Implementation and Operational Support: Supporting project planning, budgeting, and execution; preparing project documentation such as Terms of Reference, agreements, and procurement requests; coordinating workshops and stakeholder consultations; liaising with support service units on procurement and payment processes; tracking project milestones and alerting management to delays or risks.
Procurement, Financial, and Administrative Coordination: Preparing and monitoring procurement plans; conducting market research and assisting in bid evaluations; monitoring project budget utilization and maintaining documentation for audits; processing travel and expense claims.
Monitoring, Evaluation, and Strategic Decision Support: Developing monitoring systems to track progress against performance indicators; contributing to predictive models for strategic planning; supporting internal evaluations and data-driven performance reviews; providing inputs for donor and corporate reporting.
Knowledge Building and Sharing: Organizing and facilitating training sessions on project management; participating in knowledge-sharing initiatives; conducting research on project management topics and contributing to reports and summaries.
Required Qualifications: The required qualifications for the Project Management Support Officer position include:
A Bachelor’s degree (or equivalent) in any discipline with at least 2 years of relevant experience, or a Master’s degree (or equivalent) in any discipline with no prior experience.
Proficiency in collaboration and productivity tools such as MS Office and G-Suite is essential.
Experience in project management or related areas is required, with a preference for candidates who have worked in multicultural environments or UN system organizations in developing countries.
A globally recognized professional certificate or membership in Project Management is desired but not mandatory.
