Job Overview:
The Management Services Officer position is designed to provide essential support in delivering high-quality, client-focused services within the Management Services portfolio of WFP. This role is crucial for enabling the organization to effectively deliver food assistance to beneficiaries in alignment with WFP’s strategic objectives. The officer will be responsible for leading and coordinating all logistical, administrative, and operational aspects of the office relocation process, which includes planning, execution, and closure of the current office. The successful candidate will work closely with various stakeholders to ensure that the relocation is executed smoothly and efficiently, while also maintaining compliance with WFP’s policies and procedures. This position requires a proactive approach to problem-solving and the ability to manage multiple tasks simultaneously, ensuring that all aspects of the relocation are addressed in a timely manner. The officer will also play a key role in fostering a culture of environmental sustainability and promoting occupational safety and health within the organization.

Duties and Responsibilities:
The duties and responsibilities of the Management Services Officer include:
  • Assisting in the preparation of Management Services components of WFP’s Country Strategic Planning (CSP) and Resource Planning to facilitate effective service delivery.
  • Developing and coordinating a comprehensive office relocation plan, including timelines, milestones, and responsibilities, while supporting the needs assessment for the new office.
  • Collaborating with HQ facilities to develop a business case, conduct cost-benefit analysis, and assess accessibility for the new office.
  • Overseeing the complete setup of the new office, managing the installation of furniture, fixtures, and equipment, ensuring all utilities are functional, and coordinating workspace allocation and office layout implementation.
  • Ensuring compliance with lease obligations by overseeing repairs and restoration of the premises and coordinating final inspections with the landlord/building management.
  • Coordinating with senior management on relocation strategy, budget, and approvals.
  • Collating data and preparing basic analysis to support efficient planning and decision-making.
  • Identifying resource requirements to enhance efficiency, cost-effectiveness, and timeliness of operations and services.
  • Maintaining working relationships with internal and external stakeholders, including other UN agencies and government entities, to ensure effective data exchange and cooperation. 1
  • Providing suggestions for improvements related to Occupational Safety and Health (OSH) services and facilities. 1
  • Supporting environmental sustainability initiatives by modeling actions that promote sustainability in all activities. 1
  • Organizing and designing learning initiatives to enhance the capacity of WFP staff and partners regarding Management Services regulations and procedures. 1
  • Carrying out other Management Services duties as assigned.

Required Qualifications:
The required qualifications for the Management Services Officer position include:
  • An advanced university degree in Business/Public Administration, Engineering, or a related field relevant to office management and administration. Alternatively, a first university degree with additional years of related work experience and/or training/courses may be considered.
  • At least one year of postgraduate professional experience is required for candidates with an advanced university degree, or a minimum of three years of postgraduate professional experience for those with a first university degree.
  • Candidates should have some experience and/or training in at least one Management Services line of business, such as asset management, facilities management, fleet management, or travel.
  • Experience in deriving insights and conclusions from data, trends, and performance metrics is also essential.

Educational Background:
Candidates must possess an advanced university degree in Business/Public Administration, Engineering, or another relevant field related to office management and administration. Alternatively, a first university degree with additional years of related work experience and/or training/courses may be acceptable. This educational background is critical for understanding the complexities of management services and ensuring effective support for WFP’s operations.

Experience:
The position requires at least one year of postgraduate professional experience for candidates with an advanced university degree. For those with a first university degree, a minimum of three years of postgraduate professional experience is necessary. This experience should be relevant to the duties and responsibilities outlined in the job description, particularly in management services or related fields.

Languages:
Fluency in both oral and written communication in English and Arabic is mandatory for this position.
