Job Overview: The Project Assistant will work under the overall supervision of the Chief of Mission in Angola and the direct supervision of the Head of Programs. This role involves the implementation of public health activities, particularly focusing on the project titled 'Iron Women: Safe Roads, Safe Lives,' which addresses the sexual and reproductive health of women truck drivers. The Project Assistant will be responsible for assisting in the implementation and monitoring of project activities, compiling and summarizing data on specific project topics, and ensuring the effective management of project budgets. This position requires collaboration with various organizational units and external parties to facilitate project implementation and administrative coordination. The Project Assistant will also be involved in drafting reports, organizing meetings and training sessions, and responding to information requests, thereby playing a crucial role in the successful execution of the project.
Duties and Responsibilities:
Assist in the implementation and monitoring of project activities related to public health.
Retrieve, compile, summarize, and present information/data on specific project topics.
Monitor project budgets, verify the availability of funds, obtain necessary approvals, and update budget-related information.
Support administrative coordination of project implementation, liaising with diverse organizational units and external parties to initiate requests, obtain necessary clearances, and process administrative actions.
Draft status reports, identifying shortfalls in delivery and bringing them to the attention of the supervisor.
Prepare correspondence, reports, briefing notes, graphics, statistical tables, presentations, and other documentation.
Organize meetings, workshops, and training sessions.
Organize and participate in field visits in the provinces.
Respond to general information requests and inquiries; set up and maintain files/records. 1
Perform other relevant duties as assigned.
Required Qualifications: Candidates must possess a Bachelor’s degree in political or social sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or a related field from an accredited academic institution, along with two years of relevant professional experience. Alternatively, candidates with a school diploma and four years of relevant professional experience will also be considered. Accredited universities are those listed in the UNESCO World Higher Education Database. Candidates should have experience in liaising with governmental authorities, national/international institutions, United Nations agencies, and non-governmental organizations, as well as experience working on public health projects and with vulnerable groups such as migrants and refugees. Prior work experience with international humanitarian organizations or in a multi-cultural setting is advantageous.
Educational Background: The educational background required for this position includes a Bachelor’s degree in relevant fields such as political or social sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or a related area from an accredited institution. Candidates with a school diploma may qualify if they have sufficient relevant professional experience, specifically four years.
Experience: The position requires candidates to have at least two years of relevant professional experience if they hold a Bachelor’s degree, or four years if they possess a school diploma. Experience should include working with governmental authorities, international institutions, UN agencies, and NGOs, particularly in the context of public health projects and with vulnerable populations such as migrants and refugees. Familiarity with the operations of international humanitarian organizations is also beneficial.
Languages: Fluency in English and Portuguese is required for this position, both oral and written. All IOM staff members must be fluent in one of the IOM's official languages, which include English, French, and Spanish. Proficiency in the required languages will be specifically evaluated during the selection process, which may include written and/or oral assessments.
