Job Overview:
The position of Senior Administrative Assistant is crucial for supporting the Legal Department's operations at IDB Invest. The role requires a detail-oriented, analytical, and proactive individual who will assist in resource planning, operational coordination, financial monitoring, and administrative execution. The Senior Administrative Assistant will work within the Legal Operations team, which is responsible for optimizing non-legal aspects of the Legal Department's functioning. This includes process improvement, technology solutions, financial management, data analysis, vendor management, and strategic planning. The aim is to enable legal professionals to focus on their legal work while ensuring that the department operates efficiently and aligns with organizational goals. The Legal Department provides comprehensive legal support throughout the transaction cycle, advising management and the board on all legal matters related to IDB Invest.

Duties and Responsibilities:
The Senior Administrative Assistant will coordinate various administrative, budgetary, operational, and process improvement activities to ensure effective workflow within the Legal Department. Key responsibilities include executing day-to-day administrative functions, managing office logistics and records, supporting budget monitoring and financial transactions, assisting in legal procurement and vendor management, integrating inputs for the Department's annual budget, and supporting human resource actions such as recruitment and performance management. The role also involves designing and implementing process improvements, providing guidance on administrative policies, managing travel arrangements, and preparing documents and reports. The assistant will play a vital role in enhancing the efficiency of team support and service delivery within the Legal Department.

Required Qualifications:
Candidates must possess an Associate Degree in business administration or a related field relevant to the responsibilities of the role. Additionally, at least 4 years of progressive experience in administrative or legal operations is required. Proficiency in both Spanish and English, spoken and written, is mandatory, while knowledge of French and Portuguese is considered an asset. Candidates should demonstrate strong organizational skills, attention to detail, and the ability to work collaboratively in a team environment.

Educational Background:
The educational requirement for this position is an Associate Degree in business administration or a related field that aligns with the responsibilities of the role. This educational background is essential for understanding the administrative and operational functions required in a legal context.

Experience:
The position requires a minimum of 4 years of progressive experience in administrative roles, particularly within legal operations. This experience should demonstrate the candidate's ability to manage administrative tasks effectively and support legal professionals in their work.

Languages:

The position is offered as an international staff contract for an initial duration of 36 months, with the possibility of renewal upon mutual agreement.
