Job Overview:
The Sr. Project Support Service Associate will play a crucial role within the Process and Control Support Team (PCST) of the Global Shared Services (GSS) Finance Hub. This position is responsible for providing worldwide support through the review of project documents and the maintenance, optimization, and modification of financial master data. The successful candidate will work closely with the Financial Accounting Division (FAD) and the Financial Policy Unit (FPU) to ensure the accuracy and consistency of project and financial master data in the ERP system. The role involves supporting the implementation and control of role assignments and authorizations for staff across various missions globally, including Regional Offices, Administrative Centre, and Headquarters. The candidate will be expected to monitor and support the timely and compliant delivery of team functions in accordance with IOM policies, ensuring that project master data is managed effectively throughout its lifecycle.

Duties and Responsibilities:
  • Monitor and support the timely, high-quality, and compliant delivery of team functions in accordance with IOM policies and instructions. This includes supporting the end-to-end project master data lifecycle—encompassing creation, activation, maintenance, and closure—for both PRIMA and non-PRIMA projects.
  • Coordinate and supervise the performance of team members to facilitate efficient delivery of business, administrative, and technical support to FAD, GSSC units, and other institutional stakeholders.
  • Verify project information and budget data for compliance with IOM policies upon activation in PRIMA and WAVE.
  • Maintain data consistency and ensure seamless integration between the PRIMA and WAVE platforms.
  • Process extensions or full activations of provisionally activated projects across both PRIMA and WAVE.
  • Prepare reports required for central year-end activities, including identifying projects with interest-handling requirements.
  • Review contracts and agreements to identify issues affecting project activation and coordinate with relevant stakeholders to resolve these issues.
  • Provide guidance to IOM offices on correct procedures and monitor the progress of the activation workflow.
  • Suggest enhancements and support the maintenance of project information data fields to meet diverse business needs. 1
  • Manage the PCST Project Support Services’ ticketing system, coordinating workload distribution among team members and monitoring support tickets. 1
  • Facilitate knowledge sharing and collaborate closely with PCST colleagues to address access and master data queries. 1
  • Perform other duties as assigned.

Required Qualifications:
The ideal candidate should possess a Bachelor’s degree in Finance, Accounting, or a related field from an accredited academic institution, along with five years of relevant work experience. Alternatively, a high school diploma with seven years of relevant work experience is acceptable. Certification as a Certified Public Accountant (CPA) is considered an advantage. Candidates should have sound knowledge of accounting systems, principles, and internal controls, and the ability to work independently while managing competing priorities. Strong interpersonal and communication skills are essential, along with a high level of computer literacy in Word, Excel, PowerPoint, and Internet applications.

Educational Background:
Candidates must have a Bachelor’s degree in Finance, Accounting, or a related field from an accredited academic institution. Accredited Universities are those listed in the UNESCO World Higher Education Database. A high school diploma with seven years of relevant work experience is also acceptable. Certification as a Certified Public Accountant (CPA) is an advantage, indicating a higher level of expertise in financial matters.

Experience:
Candidates should have at least five years of relevant work experience in a similar role, with experience in providing customer support being a distinct advantage. Experience in communicating with a diverse range of parties, including those from different cultural backgrounds, is preferred. Familiarity with core IOM mission functions, including HR, procurement, logistics, finance, and IT, is advantageous. Experience working with ERP systems and financial master data processes is also beneficial.

Languages:
Fluency in English is mandatory, as it is the working language of IOM. Knowledge of additional languages is considered a plus, particularly languages that are relevant to the regions where IOM operates, as this can enhance communication with diverse stakeholders.

Additional Notes:
The position is based in Manila, Philippines, and is subject to funding confirmation. The selection process may be used to staff similar positions in various duty stations. Recommended candidates will remain eligible for appointment in a similar position for a period of 24 months. The appointment will be subject to certification that the candidate is medically fit for appointment, and compliance with any residency or visa requirements.
