Job Overview: The Business Support Assistant (Wellness) role is crucial in supporting the monitoring, quality assurance, process optimization, and risk identification related to medical clearances, sick leave, and associated medico-administrative workflows across Country Offices (CYs). The incumbent will play a vital role in upholding duty of care principles and ensuring alignment with WFP standards while avoiding duplication of HQ clinical functions. This position is designed for Thai nationals and will require the individual to engage with various stakeholders to facilitate smooth operations and effective communication. The role encompasses a wide range of responsibilities, including monitoring workflows, ensuring compliance with policies, and providing administrative support for medical-related processes.
Duties and Responsibilities:
Medical Clearance and Workflow Monitoring: Monitor the medical clearance workflow across assigned CYs, ensuring timely follow-ups to prevent operational delays. Check submissions for completeness and quality standards prior to medical review, flagging recurring issues and proposing corrective actions. Act as a liaison between CYs, HR, and Medical Officers to facilitate information flow.
Sick Leave Monitoring and Risk Surveillance: Implement and apply sick leave processes consistently across CYs, monitoring patterns and trends in sick leave, and escalating high-risk cases. Maintain tracking mechanisms for recurrent and long-term sick leave cases, identifying occupational or environmental health risks.
Medico-Administrative Quality Assurance: Conduct routine checks for consistency and accuracy of medico-administrative documentation, ensuring compliance with WFP standards. Maintain organized documentation that is audit-ready and adheres to confidentiality principles.
Process Optimization and Field-Level System Strengthening: Support the implementation of standardized workflows for medical clearances and sick leave processes, identifying delays and suggesting improvements. Develop operational tools to enhance CY operations.
Coordination and Operational Support: Act as a coordination point between CYs, HR, and Medical Unit, providing guidance on medico-administrative procedures and assisting with onboarding.
Data Management, Reporting, and Decision Support: Maintain accurate medico-administrative data systems, develop reports highlighting trends and risks, and escalate critical cases as necessary.
Other Duties: Perform additional related duties as required in support of the Medical/Wellness Unit.
Required Qualifications: Education: Completion of secondary school education is required, with a post-secondary certificate in administration, business, healthcare, or a related field being desirable. A university degree is considered an advantage. Experience: A minimum of three years of experience in administrative support, operations, or healthcare program support roles is required. Candidates should have experience in workflow tracking, data management, and process coordination across multiple duty stations. Skills: Strong organizational and planning skills, attention to detail, and the ability to handle sensitive information with discretion are essential. Effective communication and coordination skills are necessary, along with proficiency in standard office tools. Familiarity with UN/WFP systems such as Workday and Medgate is advantageous.
Educational Background: Candidates must have completed secondary school education, with a post-secondary certificate in administration, business, healthcare, or a related field being desirable. A university degree is an advantage, indicating a higher level of education and understanding of the relevant fields.
Experience: The position requires at least three years of relevant experience in administrative support, operations, or healthcare program support roles. Experience in a UN, NGO, or field-based environment is considered an advantage, showcasing the ability to work in diverse and challenging settings.
Languages: Fluency in English is mandatory, while knowledge of spoken Thai is also required. Proficiency in additional languages may be considered an asset, enhancing communication with diverse stakeholders.
Additional Notes: This position is offered under a Special Service Agreement (SSA3) contract type, with an end of assignment date in December 2026, subject to performance and funding.
