Job Overview:
The Office Assistant position is crucial for the smooth operation of the UN Food Systems Coordination Hub, which is part of FAO's broader mission to support food systems transformation globally. The role involves performing a variety of routine administrative tasks and providing essential office support to ensure that the work unit operates efficiently. The Office Assistant will be responsible for managing correspondence, organizing meetings, and maintaining office files, among other duties. This position requires a proactive individual who can work independently on routine matters while also being able to consult with supervisors on more complex issues. The Office Assistant will interact with various colleagues and stakeholders, facilitating communication and collaboration within the organization.

Duties and Responsibilities:
The Office Assistant will undertake a range of duties, including but not limited to: typing, formatting, and drafting routine correspondence; collating and preparing reports, presentations, and other documentation; managing incoming calls and visitors; screening emails and responding to routine inquiries; entering and updating information in various databases; maintaining office files and reference systems; initiating and tracking administrative transactions in financial, travel, and human resources systems; supporting the organization of meetings, workshops, and events; arranging travel logistics and accommodations; ensuring the availability of office supplies; and performing any other duties as required. The role is integral to the administrative support services provided to the work unit, and the Office Assistant's actions will have a direct impact on the efficiency and effectiveness of the team.

Required Qualifications:
Candidates must possess a secondary school education and have a minimum of two years of relevant experience in office support work. Proficiency in English at a working knowledge level (C) is required, along with familiarity with MS Office applications and office technology. Candidates must also be nationals of Italy or possess a valid work permit and reside within commuting distance of the duty station at the time of application. Competencies such as results focus, teamwork, communication, and building effective relationships are essential for success in this role.

Educational Background:
The minimum educational requirement for this position is a secondary school education. This foundational education is essential for performing the administrative tasks required of the Office Assistant, as it provides the necessary skills for effective communication and organization.

Experience:
The position requires candidates to have at least two years of relevant experience in office support work. This experience should include familiarity with administrative procedures and the ability to manage various office tasks efficiently. Languages:
A working knowledge of English (proficiency - level C) is mandatory for this position.
