Job Overview: The Management and Programme Analysis Assistant will be responsible for supporting the coordination of program and project planning and preparation related to business transformation and accountability activities. This role involves monitoring the status of program/project proposals and ensuring the receipt of relevant documentation for review and approval. The incumbent will compile, summarize, and present basic information and data on specific programs/projects and related topics. A significant part of the job includes reviewing project documents, particularly cost plans and budgets, to ensure completeness and compliance with relevant rules and procedures before final approval. The assistant will also serve as the focal point for administrative coordination of program/project implementation activities, requiring extensive liaison with various organizational units. Additionally, the role involves drafting correspondence on project-related issues, preparing and updating periodic reports, and providing general office assistance, including responding to complex information requests and inquiries. The assistant will also be involved in data collection and analysis, preparing data presentations and reports for information sharing, and assisting with visualizations and updating informational materials such as web pages or brochures. The position requires a proactive approach to problem-solving and the ability to work effectively in a team environment, contributing to the overall success of the division's objectives.
Duties and Responsibilities: The duties and responsibilities of the Management and Programme Analysis Assistant include:
Assisting in the coordination of program/project planning and preparation work related to business transformation and accountability activities.
Monitoring the status of program/project proposals and ensuring the receipt of relevant documentation for review and approval.
Compiling, summarizing, and presenting basic information/data on specific programs/projects and related topics or issues.
Reviewing project documents, especially cost plans/budgets, for completeness and compliance with relevant rules and procedures prior to submission for final approval and signature.
Identifying inconsistencies in project documents and distributing them to relevant parties upon approval.
Serving as the focal point for administrative coordination of program/project implementation activities, involving extensive liaison with diverse organizational units.
Compiling, summarizing, and entering data on project delivery, drafting related status reports, and identifying shortfalls in delivery.
Drafting correspondence on project-related issues and preparing and updating periodic reports, briefing notes, graphic and statistical summaries.
Providing general office assistance, responding to complex information requests and inquiries, and maintaining files/records. 1
Organizing meetings and workshops, handling routine administrative tasks, and maintaining attendance records. 1
Providing guidance and training to new or junior staff. 1

Required Qualifications: The position requires a high school diploma or equivalent. A minimum of five years of experience in program or project administration, administration, or a related area is required. This experience requirement is reduced to three years for candidates who possess a first-level university degree or higher. Candidates must have experience in researching, compiling, and analyzing data, as well as proficiency in Excel and Power BI for advanced data analysis and reporting. Experience working within the United Nations common system or in a comparable international, intergovernmental, or multicultural organization is desirable. Candidates should demonstrate professionalism, effective communication skills, and a client-oriented approach.
Educational Background: The educational background required for this position includes a high school diploma or equivalent. Candidates with a first-level university degree or higher will have a reduced experience requirement, highlighting the importance of educational qualifications in the selection process.
Experience: Candidates must have a minimum of five years of relevant experience in program or project administration, administration, or a related area. This requirement is reduced to three years for those with a first-level university degree or higher. Languages: English is the required working language for this position, with a minimum proficiency level of UN Level II in reading, writing, listening, and speaking. French is also a working language of the United Nations Secretariat, but it is not specified as a requirement for this position. Additional Notes: The appointment or assignment against this position is for an initial period of one year, subject to the availability of the post or funds, budgetary approval, or extension of the mandate. This position is subject to local recruitment, meaning applicants must be authorized to work for the United Nations in the duty station where the position is located.
