Job Overview:
The WFP Business Support Assistant G5 in Partnerships will play a crucial role in supporting the operational activities of the Partnerships Unit. This position requires a certain degree of interpretation of standard guidelines and practices, as well as the ability to recommend actions to various officials and assign tasks to less experienced colleagues. The main goal of this role is to facilitate the effective delivery of services through a variety of standard operational support processes. The assistant will be responsible for collecting information for reports and correspondence, responding to standard inquiries, managing administrative and financial tasks, maintaining records and databases, and providing operational support to ensure efficient service delivery. This position is integral to the overall functioning of the Partnerships Unit and contributes to the WFP's mission of providing humanitarian assistance.

Duties and Responsibilities:
  • Collect information for inclusion in reports, documents, and correspondence to support the effective work of other officials.
  • Respond to standard inquiries and provide timely and accurate guidance.
  • Process and manage routine administrative and financial tasks across various functional areas to contribute to the effective and timely management of resources.
  • Manage and maintain records and databases to ensure information is well-organized and easily accessible to staff.
  • Maintain relationships with a wide range of individuals by providing operational support to facilitate information exchange and service delivery.
  • Correct reports, documents, and correspondence by making necessary changes in line with established guidelines.
  • Contribute to the improvement of operational procedures and processes.
  • Collect and perform basic data analysis to contribute to quality management of operational information.
  • Provide guidance to less experienced colleagues in their duties. 1
  • Support knowledge management leadership by designing, implementing, and continuously improving an institutional system to organize, preserve, and strategically utilize information and knowledge products. 1
  • Administer and strengthen the institutional knowledge repository in Teams, establishing governance criteria, classification, version control, and ensuring that key documents and data are reliable and accessible. 1
  • Maintain the Country Office reporting matrix, incorporating deadlines for donor submissions and ensuring timely communication of responsibilities. 1
  • Prepare and consolidate high-quality drafts of reports for donors and other institutional products, ensuring narrative coherence and compliance with applicable requirements. 1
  • Support the preparation and drafting of the Annual Country Report and other institutional documents, ensuring data traceability and systematic utilization of knowledge generated by the Country Office. 1
  • Perform other tasks as required.

Required Qualifications:
  • Completion of secondary education is required. A post-secondary or university certificate in a relevant functional area (international relations, political science, development studies, communications, administration, or related fields) is desirable.
  • A minimum of five years of progressively responsible professional experience in the relevant operational area, with experience in general administrative tasks.
  • Knowledge of common operational practices and methods, acquired through relevant technical training and experience.
  • Ability to develop and maintain relationships with diverse individuals to provide high-quality support services.
  • Capacity to perform basic data analysis and independently resolve issues requiring attention.
  • Ability to supervise and record financial transactions.
  • Strong communication skills to exchange information and work with a variety of people.
  • Knowledge and experience in knowledge and information management, including collaborative repository administration, document classification, and version control.

Educational Background:
Completion of secondary education is mandatory. A post-secondary or university certificate in a relevant field such as international relations, political science, development studies, communications, administration, or other related areas is preferred.

Experience:
A minimum of five years of progressively responsible professional experience in the relevant operational area is required. This experience should include general administrative tasks and responsibilities that demonstrate increasing levels of responsibility.

Languages:
Fluency in Spanish (Level C) is required, and a working knowledge of English (Level B) is desirable.
