Job Overview: The Senior Operations Assistant position is situated within the Special Initiatives and Funds division of the Office of Markets Development and Public-Private Partnership at ADB. The role is crucial for providing operational support to project teams and handling administrative responsibilities for the Director of OMSF and other designated Technical International staff. The incumbent will be responsible for assisting in the implementation and administration of technical assistance (TA) projects, managing daily operations, and coordinating administrative activities. This includes tasks such as consultant recruitment, contract management, claims processing, and maintaining project records. The Senior Operations Assistant will also engage in research activities related to the public-private partnership (PPP) business environment across developing member countries, contributing to the creation and maintenance of a PPP database, and ensuring compliance with ADB's standards in all documentation and correspondence.
Duties and Responsibilities: The duties and responsibilities of the Senior Operations Assistant include: assisting in the implementation and administration of TA and the Asia Pacific Project Preparation Facility (AP3F); managing consultant recruitment, contract management, and claims processing; maintaining and updating project records in relevant systems; assisting in the administration of budget and transaction advisory services fee pools; conducting research on the PPP business environment; creating and maintaining databases; drafting documents and presentation materials; ensuring timely preparation and submission of correspondence and reports; providing front-desk support for OMSF operations; coordinating supervisors' schedules and arranging appointments and meetings; organizing office filing systems and maintaining adequate stocks of office supplies; providing backup support to other operations assistants; and performing other duties as assigned.
Required Qualifications: Candidates for the Senior Operations Assistant position must possess a Bachelor's degree in business administration, social science, or a related field. They should have at least 5 years of relevant work experience and demonstrate proficiency in Office 365 and other standard software commonly used in multilateral organizations.
