Job Overview:
The Registration Associate position is a critical role within the Registration team at UNHCR, primarily responsible for supporting all activities related to the registration of asylum seekers and refugees. This role involves ensuring that registration processes are effectively utilized to identify specific protection needs, manage operations, and achieve durable solutions for individuals in need. The Registration Associate will work under the supervision of the Head of Unit or Assistant Registration Officer and will be expected to provide day-to-day supervision and support to UNHCR staff engaged in registration activities. This includes overseeing reception, filing, data management, and conducting interviews. The role requires close collaboration with various stakeholders, including protection staff, program managers, and government authorities, to ensure the delivery of quality population data and effective registration activities. The Registration Associate will also be responsible for maintaining accurate records, providing counseling to asylum seekers, and drafting reports related to registration activities.

Duties and Responsibilities:
The duties and responsibilities of the Registration Associate include implementing UNHCR's Registration Standard Operating Procedures (SOPs) in accordance with relevant standards and policies. The Associate will assist in the implementation of registration strategies and methodologies for populations of concern, supervise the daily activities of the registration team, conduct registration interviews, and provide counseling to asylum seekers regarding their rights and entitlements. Additionally, the Associate will maintain accurate records of registration cases, identify individuals with specific needs for timely referral to protection follow-up, collaborate with protection staff in delivering assistance, draft correspondence and reports, and provide statistics related to registration data. The Associate will also be involved in decision-making related to the operations of the registration unit and will be expected to devise efficient registration procedures. Other related duties may be assigned as required.

Required Qualifications:
The position requires a minimum of 3 years of relevant experience with a High School Diploma, or 2 years of relevant experience with a Bachelor’s degree or higher. Essential qualifications include good computer skills, particularly in data management, and desirable qualifications include training in international protection principles and experience with UNHCR proGres software. The candidate should possess functional skills in data management, computer literacy, data collection and analysis, and program management. Experience in international organizations, particularly within the UN system, is also beneficial.

Educational Background:
Candidates must have a High School Diploma or equivalent, with a preference for those holding a Bachelor’s degree in relevant fields such as Social Science, Statistics, Mathematics, or Information Technology. Certificates and licenses in these areas are considered essential for the role.

Experience:
The position requires at least 3 years of relevant work experience for candidates with a High School Diploma, or 2 years for those with a Bachelor’s degree. Experience should be in areas related to registration, data management, or working with vulnerable populations, preferably within an international organization or humanitarian context.

Languages:
Fluency in English and Malay is mandatory for this position. Knowledge of additional languages may be considered an asset but is not required.

Additional Notes:
This position is offered under a UNOPS Local ICA contract until December 31, 2026, with the possibility of extension based on operational needs, budget, and performance. The role is full-time and does not require functional clearance. The monthly net salary ranges between MYR 7,209 and MYR 9,132, depending on relevant experience.
