Job Overview:
The Administrative Associate position at UN Women is a vital role that supports the Deputy Regional Director and program teams by managing a variety of administrative processes. The incumbent is expected to ensure high-quality and accurate work while promoting a client-oriented, quality-focused approach. This position requires close collaboration with various teams, including the Regional Director’s Office, Operations, and Programme staff, to provide necessary operational, administrative, and programmatic support. The Administrative Associate will be responsible for ensuring consistent service delivery and resolving complex administrative issues, thereby facilitating the smooth functioning of the office and its programs.

Duties and Responsibilities:
The duties and responsibilities of the Administrative Associate include providing comprehensive administrative support to the Regional Office, which encompasses logistical, administrative, and financial arrangements for meetings, workshops, events, and missions. The role involves monitoring and maintaining office supplies, managing the Deputy Regional Director’s calendar, and coordinating with the Executive Associate for administrative processes. Additionally, the Administrative Associate will assist in maintaining the premises, manage an e-filing system for confidential materials, and provide programmatic support by preparing work plans, budgets, and proposals. The position also requires organizing travel arrangements, processing travel-related transactions, and reviewing procurement processes. The incumbent will facilitate knowledge sharing and build on best practices related to program implementation, ensuring that all duties are performed efficiently and effectively.

Required Qualifications:
Candidates must possess a minimum of secondary education, with a Bachelor’s degree in Gender Studies, Development, Business Administration, or related fields being desirable. The role requires at least 6 years of progressively responsible experience in administration or program management/support. Proficiency in using multiple office software packages is essential, along with experience in supporting a team. Familiarity with modern web-based ERP systems, preferably Oracle Cloud, is desirable, and experience within the UN system or an international organization is considered an asset.

Educational Background:
The educational background required for this position includes the completion of secondary education as a minimum requirement. A Bachelor’s degree in relevant fields such as Gender Studies, Development, or Business Administration is highly desirable and would enhance a candidate's suitability for the role.

Experience:
The position requires at least 6 years of progressively responsible experience in administration or program management/support. Candidates should have a solid background in working within a computer environment and using various office software packages. Experience in supporting a team and familiarity with modern web-based ERP systems, particularly Oracle Cloud, is advantageous. Additionally, experience within the UN system or an international organization is beneficial and may provide a competitive edge in the selection process.

Languages:
Fluency in English is mandatory for this position. Knowledge of another official UN language, such as French, Arabic, Chinese, Russian, or Spanish, is considered desirable and may enhance communication and collaboration within the organization.
