Job Overview:
The Executive Assistant (EA) plays a crucial role in providing high-level administrative support to Ankur Vora, the Chief Strategy Officer and President of the Africa and India Offices (AIO). This position is integral to ensuring the smooth operation of daily activities and aligning with the organization's strategic priorities. The EA will manage complex calendars, coordinate executive travel and meetings, and act as a key liaison between internal teams and external partners. Additionally, the EA will oversee logistics for division events and retreats, support high-level communications from the executive's office, track key deliverables, and may participate in division-wide initiatives. The role requires a self-motivated and proactive individual who is dedicated to supporting their leader with exceptional attention to detail, responsiveness, and accuracy. Candidates must be adept at managing competing priorities and maintaining confidentiality while providing unwavering support to optimize the executive's time and impact.

Duties and Responsibilities:
The Executive Assistant will be responsible for a wide range of duties including: providing executive-level administrative leadership by anticipating needs and managing high volumes of complex correspondence; orchestrating travel and expense operations; ensuring alignment of the executive's calendar with organizational priorities; representing the assistant community to leadership; monitoring executive engagement and organizational dynamics; leading high-level visit planning and execution; leveraging technology and digital tools to streamline support; participating actively in leadership meetings; managing a complex executive-level calendar; coordinating meetings across multiple time zones; supporting principals in managing their time and communications; acting as a liaison between the President and Chief of Staff; leading coordination with the assistant team; planning and executing division-wide events and retreats; managing all aspects of principal travel including logistics and security" style="border-bottom: 1px dotted #007bff !important;">security; and exercising exceptional judgment in all communications with stakeholders.

Required Qualifications:
Candidates must possess a Bachelor’s degree or equivalent demonstrated experience. They should have deep knowledge of the Foundation's mission, values, resources, culture, systems, and business strategies. The ability to prioritize effectively, communicate decisions clearly, and execute processes is essential. Candidates should have advanced knowledge of decision-making on behalf of leaders, the capability to build relationships, and experience in administrative support for senior management or executives. Proficiency in MS Office suite, especially Outlook, and familiarity with AI tools like CoPilot and ChatGPT is strongly preferred. Candidates must also have unrestricted work authorization in the United States, as the Foundation does not provide immigration-related sponsorship for this role.

Educational Background:
A Bachelor’s degree is required for this position, or equivalent demonstrated experience in a relevant field. This educational background should provide candidates with a solid understanding of organizational dynamics and the skills necessary for effective communication and administrative support.

Experience:
Candidates should have experience in an administrative role supporting senior management or executives. This includes maintaining organized systems for tracking and prioritizing materials management, as well as experience in high-pressure environments that require effective prioritization and time management skills. The ideal candidate will have a proven track record of successfully managing complex calendars and communications in a fast-paced setting.

Languages:
