Job Overview:
The Travel Associate position is situated within the Travel Service Unit (TRSU) of the Safety & Security and General Services (SSG) Section at ICAO. This role is pivotal in coordinating all travel arrangements for staff and dependents, ensuring compliance with ICAO staff rules and policies. The incumbent will report directly to the Travel Officer and will be expected to work independently, demonstrating initiative and accountability in managing travel logistics. The position requires a proactive approach to problem-solving and effective communication with various stakeholders, including senior management and external travel contractors. The Travel Associate will play a crucial role in optimizing travel processes and ensuring that all travel is conducted efficiently and economically, in alignment with organizational goals.

Duties and Responsibilities:
The Travel Associate will be responsible for a variety of functions, including:
  • Determining travel entitlements and advising on the most effective methods for official travel, ensuring compliance with ICAO staff rules and budgetary constraints.
  • Coordinating with the Finance Branch to address travel claims, investigating discrepancies, and certifying documentation related to travel expenses.
  • Liaising with Travel Management Contractors to facilitate travel services, overseeing airline incentive agreements, and analyzing travel management reports.
  • Assisting with daily operations of the Travel Service Unit, providing travel authorizations, and communicating with airline account managers to resolve issues.
  • Performing other related duties as assigned, contributing to the overall efficiency of the unit.

Required Qualifications:
Candidates must possess a high school diploma or equivalent as a minimum requirement. A diploma of college studies (DEC) or a first-level university degree in Travel or a related field is desirable. Additionally, training or certification in travel-related courses is advantageous. Candidates should have a strong understanding of travel regulations and practices, particularly within an international context.

Educational Background:
The essential educational requirement for this position is a high school diploma or equivalent. However, candidates with a diploma of college studies (DEC) or a first-level university degree with coursework in Travel or a related field will be preferred. Training or certification in travel-related disciplines is also considered desirable, as it demonstrates a commitment to professional development in the field.

Experience:
The position requires a minimum of six years of professional experience in travel-related roles, particularly within the airline industry. Candidates should have extensive experience with SABRE and Global Distribution Systems (GDS), focusing on ticketing, reissues, and refunds. Experience in managing complex international travel arrangements is essential. Desirable experience includes working in a 'rent-a-plate' onsite travel service configuration and familiarity with the operations of a United Nations organization.

Languages:
Fluency in English and French is mandatory, with strong reading, writing, and speaking abilities in both languages. Additionally, a working knowledge of other UN languages such as Arabic, Chinese, Russian, or Spanish is considered an asset, enhancing the candidate's ability to communicate in a diverse international environment.

Additional Notes:
This position is locally recruited and is restricted to Canadian citizens, permanent residents, and applicants with a valid work permit. The contract is fixed-term for an initial period of three years, with the first year serving as a probationary period for external candidates. ICAO staff members are expected to adhere to the standards of conduct for international civil servants and may be assigned to various activities or offices within the organization. The position offers a competitive salary of CAD 58,962 per annum at the G-6 level, along with a comprehensive benefits package in accordance with the International Civil Service Commission policies.
