Job Overview: The Driver Clerk position involves providing reliable and safe driving services to IFAD staff, officials, and visitors. The role requires a high level of discretion, integrity, and responsibility, as well as an excellent understanding of protocol and security" style="border-bottom: 1px dotted #007bff !important;">security issues. The incumbent must demonstrate a client-oriented approach and the ability to work effectively with individuals from diverse national and cultural backgrounds. The position entails driving staff in various offices, including Regional Offices, Multi-Country Offices, and Country Offices, as well as providing registry and clerical services. The incumbent is expected to maintain a high standard of accuracy in their work and ensure the safety and reliability of the driving services provided.
Duties and Responsibilities: The duties and responsibilities of the Driver Clerk include:
Driving Services and Vehicle Maintenance: - Providing reliable and safe driving services for IFAD staff, high-ranking officials, and visitors, as well as delivering and collecting mail and documents. - Meeting official personnel and visitors at the airport and assisting with visa and customs formalities when necessary. - Maintaining accurate vehicle logs and contributing to vehicle maintenance plans and reports to ensure cost savings. - Performing day-to-day maintenance of the assigned vehicle, including minor repairs and arranging for major repairs, oil changes, tire checks, and cleaning. - Ensuring the availability of all required documents and supplies in the vehicle, such as insurance, logs, maps, and first aid kits. - Taking immediate actions as required by rules and regulations in case of accidents.
Administrative Functions: - Maintaining the office filing system in accordance with the IFAD Record Management System, including opening new subject files and disposing of old files as per retention schedules. - Safeguarding documents and ensuring proper storage and accessibility of archives. - Providing photocopying and document scanning services as requested. - Assisting in the collection of reference and background materials. - Establishing and maintaining a records system for file movements and managing office circulation and reading files. - Preparing correspondence and reports related to registry activities. - Supporting travel arrangements by preparing travel authorizations and security clearances for staff traveling domestically and abroad. - Managing correspondence by receiving, registering, coding, and forwarding incoming communications and dispatching outgoing communications.
Managerial Functions: - Upholding integrity and transparency in the administration of IFAD resources and adhering to IFAD's core values and code of conduct.
Required Qualifications: The required qualifications for the Driver Clerk position include: - A high school diploma. - At least two years of progressively responsible experience in administration and as a driver. - Proficiency in using computer and office software packages, such as MS Word and Excel. - A safe driving record and knowledge of driving rules and regulations. - Skills in minor vehicle repair and maintenance.
